Design, build, and maintain automated workflows for legal processes including client intake, document generation, and task management. Provide legal assistant support for estate planning and administration while leveraging AI tools to optimize practice efficiency.
We are a team augmentation company dedicated to connecting exceptional remote talent with global organizations.
We are seeking a hands-on Legal Assistant / Automations Specialist with strong expertise in AI tools, workflow automation and legal practice management systems to support a wills and estates practice.
This role is primarily automation-focused. The ideal candidate is someone who actively builds and runs AI-driven workflows day to day, not simply someone familiar with AI, and who can work alongside a highly AI-literate principal to design, automate and continually improve how the practice operates. The role also includes legal assistant support across estate planning and estate administration matters.
Experience supporting a law firm in the United States is highly desirable, and wills and estates administration experience is a strong advantage. The successful candidate must be available to work during US Pacific Time business hours.
Design, build, test and maintain automated workflows across client intake, matter opening, document generation, task management and client communications.
Use AI tools (e.g. ChatGPT, Claude, Copilot) hands-on to draft, summarise, review and process legal and administrative work, and develop effective prompts, templates and repeatable AI processes.
Configure and administer the firm's practice management system, including matter workflows, templates, custom fields, automations and reporting.
Connect systems and automate hand-offs using workflow automation platforms (e.g. Zapier, Make, Power Automate) and integrations between practice management, email, calendar, e-signature and document storage.
Build and maintain document automation templates for wills, trusts, powers of attorney, healthcare directives and related estate planning documents.
Identify manual, repetitive tasks across the practice and propose and implement automation or AI solutions to remove them.
Document workflows, automations and standard operating procedures so processes are clear, consistent and easy to maintain.
Monitor automations for errors, troubleshoot issues and keep data accurate and up to date across systems.
Provide legal assistant support on estate planning and estate administration matters, including preparing drafts, organising client documents, tracking deadlines and coordinating signings.
Manage client intake questionnaires, follow-ups and routine client correspondence, using automated and AI-assisted processes where appropriate.
Stay current with new AI and automation tools relevant to legal practice and recommend improvements to the principal.
A degree in Law, Legal Studies or Paralegal Studies, or an equivalent legal or paralegal diploma.
Hands-on experience using AI tools (e.g. ChatGPT, Claude, Copilot) in a professional setting is mandatory, with practical examples of AI-driven work you have built or run.
Demonstrated experience building workflow automations using platforms such as Zapier, Make, Power Automate or similar is mandatory.
Experience configuring or administering a legal practice management system (e.g. Clio, MyCase, PracticePanther, Smokeball, Lawmatics or similar) is mandatory.
Experience with document automation tools (e.g. Lawyaw, Clio Draft, HotDocs, Gavel or similar) is highly advantageous.
Experience supporting a law firm in the United States is highly desirable.
Experience in wills and estates administration, estate planning or probate support is advantageous.
Strong process-mapping and problem-solving skills, with the ability to turn a manual process into a reliable automated workflow.
Comfortable learning new software quickly and working with APIs, integrations and connected systems.
High attention to detail and accuracy when handling legal documents and client data.
Excellent written and verbal English communication skills.
Availability to work US Pacific Time business hours is mandatory.
Ability to work independently and manage competing priorities in a remote working environment.
Competitive compensation package in foreign currency
Fully remote work
Regular initiatives for training and professional development.
If you are a driven legal professional with strong experience in legal workflow automation, AI tools and practice management systems and are looking to work closely with high performing legal teams, we encourage you to apply.
