The Lead Operations Supervisor coordinates logistics, delivery workflows, and vendor expediting while managing customer billing and asset documentation. They oversee Base Persons-in-Charge to ensure operational efficiency, fleet readiness, and strict adherence to HSE policies.
The Operations Coordinator is responsible for bridging operational execution and client-facing commercial administration. This role coordinates logistics, delivery workflows, and vendor expediting while overseeing Base Persons-in-Charge (PICs), managing customer billing, order documentation, and asset damage resolutions to ensure seamless, compliant service delivery.
Principal Accountabilities

Operations
Coordinate workflows and delivery schedules between Base PICs, logistics providers, and commercial teams for all incoming and outgoing equipment.
Oversee and supervise Base PICs, ensuring that day-to-day yard execution, inspection checklists, and fleet readiness align with company procedures.
Work closely with Base PICs to ensure all off-hire inspections are completed, and Asset Damage Reports (ADRs) are released to clients strictly within 48 hours.
Track and manage spares inventory, including slings, accessories, and consumables, to maintain operational availability and accurate records.
Expedite third-party vendors to maintain turnaround times, service quality, and material availability.
Serve as the primary operational liaison between base locations and the main office, monitoring overall operational performance and status updates.
Adhere strictly to company HSE policies and ensure safe working practices across all logistics and handling activities.
Customer Service
Generate Delivery Orders (DOs) and required shipping/customs documentation for all on-hire / off-hire movements.
Follow up, secure, and verify valid Purchase Orders (POs) from clients for initial hires and ongoing billing cycles.
Execute timely customer invoices, submit billings to client procurement portals, and promptly resolve any disputed or rejected invoices.
Track, expedite, and close out all client billing disputes, Asset Damage Reports (ADRs).
Manage end-to-end commercial support workflows, including new customer onboarding setups, support monthly financial reconciliations, following up on overdue collections with Finance.
Maintain accurate equipment movement records, fleet tracking data, and transaction logs within the ERP system (Dynamics AX).
HSE Responsibilities

Qualifications and Experience:
Diploma or Bachelor’s degree in Logistics, Supply Chain, Business Administration, or a related field.
3–5 years of relevant experience in operational coordination, logistics, or operational customer support within an equipment rental or industrial environment.
Strong follow-up, coordination, and stakeholder management skills across field teams, vendors, and corporate clients.
Proficiency in Microsoft Office (Excel, Word); familiarity with ERP platforms such as Dynamics AX is an advantage.
Excellent verbal and written communication skills.
