AI Summary

Review and prioritize outstanding indirect tax receivables, prepare and file amended returns and refund claims, and work with tax authorities to resolve discrepancies and collect refunds. Track deadlines and recovery progress, reconcile claimed and received amounts, and maintain documentation and processes for handoff to the internal Tax team.

Overview

We are seeking an experienced Indirect Tax Specialist to join our Tax team on a temporary basis for approximately six months. This role will provide immediate, hands-on support to help address a significant backlog of indirect tax filings, amendments, and outstanding receivables from various tax authorities.

Responsibilities

    • Review outstanding indirect tax receivables and identify the actions required to move each item toward resolution and collection.
    • Prepare, review, and file amended tax returns and refund claims across applicable federal, state, and local jurisdictions.
    • Provide specialized support for motor fuel, fuel excise, sales and use, and other indirect taxes, depending on experience.
    • Prioritize outstanding claims based on dollar value, statute-of-limitations deadlines, complexity, and likelihood of recovery.
    • Research historical filings, payments, tax calculations, supporting schedules, and correspondence to identify discrepancies and opportunities for recovery.
    • Gather and organize documentation necessary to support amended filings, refund claims, and receivable collection efforts.
    • Communicate directly with taxing authorities to research outstanding receivables, resolve discrepancies, respond to questions, and advance pending refund claims.
    • Track the status of amendments, claims, correspondence, and expected refunds to provide clear visibility into recovery progress.
    • Identify claims approaching statutory deadlines and escalate items requiring immediate action.
    • Reconcile amounts filed or claimed against expected and received refunds.
    • Partner with internal Tax, Accounting, Finance, and other business teams as needed to obtain supporting information and resolve outstanding issues.
    • Maintain detailed documentation of actions taken, outstanding requirements, deadlines, and final resolution.
    • Help establish an organized process and documentation trail that can be transitioned back to the internal Tax team at the end of the assignment.

Qualifications

    • Significant professional experience in indirect tax, with demonstrated experience preparing, reviewing, or amending tax filings.
    • Strong preference for candidates with direct experience in motor fuel taxes, fuel excise taxes, fuel tax refunds, or similar petroleum/convenience retail tax environments.
    • Experience working with multiple state taxing jurisdictions and navigating jurisdiction-specific filing and refund requirements.
    • Demonstrated experience preparing amended returns and/or refund claims and following those claims through collection.
    • Strong understanding of tax filing deadlines and statutes of limitations.
    • Ability to review historical transactions and tax filings, identify discrepancies, and determine appropriate corrective action.
    • Strong reconciliation, research, analytical, and documentation skills.
    • Experience communicating with state or other governmental tax authorities regarding filings, notices, refunds, or outstanding claims.
    • Ability to independently manage a large volume of time-sensitive work and prioritize based on financial impact and statutory deadlines.
    • Advanced proficiency with Microsoft Excel and experience working with large volumes of tax and financial data.
    • Strong attention to detail and ability to work with limited supervision in a remote environment.

    Preferred Qualifications

    • Experience with indirect tax in the fuel, petroleum, convenience retail, wholesale fuel, transportation, or energy industries.
    • Experience with motor fuel excise tax filings and refund processes.
    • Experience managing significant tax receivables or refund recovery projects.
    • Experience stepping into a backlog or remediation project and quickly bringing outstanding filings and claims current.
    • Familiarity with tax research, tax compliance, ERP, or tax management systems.
