Duties and Responsibilities:
- Respond quickly to new leads by phone, email, text, and CRM; control the conversation professionally and empathetically.
- Conduct preliminary intake, obtain essential facts, recognize urgency, and identify when immediate escalation is required—without giving legal advice.
- Handle distressed or difficult callers, including detention/removal and other urgent immigration situations, with calm authority.
- Explain the consultation process and confidently convert qualified leads to paid consultations; address routine objections without becoming pushy or giving legal advice.
- Schedule consultations, send confirmations/questionnaires, collect consultation payments, and reduce no-shows through disciplined follow-up.
- Own the lead pipeline: every lead must have a status, complete notes, next action, responsible person, and followup date.
- Persistently follow up with undecided, unresponsive, missedconsult, and not-yet-retained prospects according to firm SOPs.
- After attorney approval/retention, coordinate legalfee/payment instructions, engagement agreement/retainer steps, signatures, client information, and onboarding requirements.
- Ensure the retained client is completely onboarded and handed off with accurate notes, documents, payment/engagement status, and next steps.
- Maintain accurate Docketwise/CRM records and communicate clearly with attorneys and operations.
Requirements
- Minimum 2 years of direct intake/client-conversion experience in a U.S. immigration law firm.
- Must have personally handled live immigration leads—not only document processing, form preparation, or appointment setting.
- Working knowledge of family-based immigration and familiarity with humanitarian/removal matters and common immigration terminology.
- Strong live-phone presence: warm, concise, confident, and able to redirect long or emotional callers.
- Demonstrated experience converting leads to consultations and following prospects through retention/onboarding.
- Strong CRM/pipeline ownership and follow-up discipline.
- Excellent spoken and written English.
- Able to work independently without being taught basic intake workflow.
- Docketwise strongly preferred; comparable legal CRM/casemanagement experience acceptable.
- RingCentral and GoHighLevel/HubSpot or similar CRM experience are strong advantages.
Please DO NOT submit candidates whose experience is primarily:
- Appointment setting or scripted call-center/customer service.
- Immigration document processing/form preparation without intake ownership.
- General virtual-assistant work with little U.S. immigration intake experience.
- Candidates who need the firm to teach them how to run intake, follow a lead pipeline, or onboard a retained client.
- Candidates who cannot comfortably handle urgent or emotionally charged immigration calls
