The Role: Operational Foundation and Compliance Assurance

As the HR Coordinator you are the essential operational anchor for our regional offices. You directly support the regional the People Business Partner (BPs)in your region and will be part of the Global People, Skills & AI team, focused on owning and executing all critical, non-negotiable Human-In-The-Loop (HITL) HR responsibilities.

Your primary focus is ensuring operational excellence, legal compliance, and a seamless employee experience across the entire employment lifecycle. By expertly managing these foundational elements, you enable the strategic BPs and Global Director of People Operations to focus 80% of their time on capability building and strategic growth initiatives.

Key Responsibilities

1. Direct Support to your Regional People Business Partner and the Global People Ops team

You are responsible for executing the foundational HR tasks that enable strategic stability with the main focus on your region and the ability to support global initiatives:

  • Employee Relations Execution: Act as the hands-on administrator for employee relations processes, including drafting disciplinary and grievance documentation, coordinating meetings, and maintaining confidential records. You will own this for your region and support as needed globally.

  • Contract and Policy Management: Own the generation and distribution of all employment contracts and contractual changes. Maintain the regional policy repository, ensuring all documentation is up-to-date and accessible. Work cross-regionally to ensure global consistency and execution as needed.

  • Compliance Administration: Directly ensure compliance with regional employment law and adherence to local regulations in all offices, supporting the creation and delivery of mandatory staff training (e.g., health and safety training).

2. Core HR & Employee Mobility Ownership

  • Payroll Management: Own and manage the end-to-end processing of regional payroll in coordination with Finance and external payroll partners (as applicable). Ensure accurate data input, validation, and timely payments.

  • HRIS Management: Own the HRIS for the region, managing data integrity, processing all employee changes, and overseeing absence management.

  • Immigration & Relocation: Manage the administrative process for existing visa sponsorships and new applications. Coordinate employee relocations, assisting employees with logistics, documentation, and ensuring compliance with local posting requirements.

  • Perks and Benefits Management: Manage any administration and compliance related to perks and benefits including pension/GRSP, insurance, salary sacrifice schemes, extended leave, etc.

3. Employee Lifecycle Management

  • Benefits & Compensation Support: Assist in preparing compensation review data and updating HRIS records. Support in the review of insurance and other perks and benefits, and the implementation of changes.

  • Onboarding & Offboarding: Take responsibility for ensuring a smooth, welcoming, and legally compliant process for employee onboarding and offboarding. This includes system access (coordinating with IT), right-to-work checks, induction scheduling, and exit administration, including data analysis support. This also includes owning re-onboarding for employees returning from periods of leave.

  • Event and Support: Work with the wider Datatonic team to assist in set up and execution of engagement activities and in-person or virtual events.

  • First-Line Support: Act as the first point of contact for routine employee queries related to HR policy, benefits, and HR processes.

Requirements

  • Proven experience (2+ years) as an HR (People Ops) Generalist or People Ops Coordinator in a fast-paced environment.

  • In Canada, fluency in French and English

  • Strong foundational knowledge of UK, US, Canada or European employment law and practical experience supporting operational HR across the employee lifecycle.

  • Direct, hands-on experience managing and processing payroll for a UK, Europe or Canada-based business.

  • Experience or comfort with supporting visa sponsorship and employee relocation administration.

  • Highly organized & dependable person with strong attention to detail and self-sufficiency, capable of managing complex logistics.

  • Experience with HRIS (HiBob experience preferred).

  • Knowledge or experience supporting teams in multiple countries is beneficial.
