Are you a creative and detail-oriented design professional with a passion for producing high-quality artwork while ensuring seamless project coordination? We're looking for a Home-Based Art Coordinator to join our DCX team.

In this role, you will collaborate closely with Account Managers, clients, and suppliers to create compelling artwork, prepare customer proofs, manage production-ready files, and coordinate artwork approvals throughout the production process. You will also monitor vendor communications, track project timelines, and ensure orders progress smoothly from concept to delivery. Your creativity, organizational skills, and attention to detail will play a vital role in delivering exceptional branded merchandise and print solutions that exceed client expectations.

REQUIRED CORE COMPETENCIES

  • Detail-Oriented: Maintains exceptional accuracy when preparing artwork, proofs, production files, and order documentation while ensuring compliance with brand and printer requirements.

  • Organized & Deadline-Driven: Successfully manages multiple projects, monitors production timelines, and prioritizes competing tasks to meet strict deadlines.

  • Technically Proficient: Highly skilled in Adobe Creative Cloud, digital collaboration platforms, and production workflows while quickly adapting to industry-specific software.

 

WHAT YOU WILL DO 

 Artwork Creation & Customer Proofing

  • Product ideation, design and presentation for apparel, merchandise and print with focus on supporting account management’s efforts to grow and support their client base. 

  • Prepare proofs and print ready files by gathering information and materials from account managers and vendor websites. 

  • Utilize Ziflow to proof concepts to customers and works directly with customer on design changes. 

  • Preflight provided art files that meet printers’ standards. 

  • Save production ready art files in the appropriate locations in Xebra and/or the GDrive. 

  • For jobs subject to collegiate licensing, load customer approved proofs from into CLC BrandManager and follow-up in that portal to obtain necessary permissions Communicate that approval to the Account Manager promptly so that the order can be finalized. 

Vendor Communication & Order Coordination

  • Receive order acknowledgments from suppliers, verify exact match to the submitted purchase order and either enter into Xebra or resolve any discrepancies. 

  • Utilize Airtable to monitor for jobs where no vendor acknowledgement or proof has been received and follow up with the supplier. 

  • Utilize information within Xebra to answer supplier questions. 

  • Route complex supplier questions to the appropriate Account Manager and ensure that the correspondence is logged on the Xebra job. 

  • Review and approve supplier proofs on orders up to $1000. 

  • Record shipping information on the Xebra job and either send the customer a shipping notification (job shipping direct) or enter the expected arrival date into Airtable for the production team (job shipping to warehouse) 

  • Utilize Xebra and AirTable to closely monitor order progress for jobs with hard due dates This includes ensuring that vendor order acknowledgments show the correct in hands date, monitoring progress at the supplier, and tracking shipping progress. 

  • Alert Account Managers if it appears any order will miss the promised In Hands date.

Escalation & Backup Support

  • Monitor the Stationary, Stock Sales, and Office Supply eCommerce order queues in Xebra. 

  • Manage all steps of the order process, including customer order acknowledgements, purchase orders, vendor order acknowledgements, proof approval and shipping confirmations. 

  • Write and manage all exact reorders, with sell pricing guidance from the assigned Account Manager. 

 

WHAT WE LOOK FOR 

  • Education: Bachelor's degree in Graphic Design, Fine Arts, Visual Communication, or a related field.

  • Experience: 2–3 years of experience as a Graphic Designer, Art Coordinator, Production Artist, or in a similar creative production role.

  • Language Proficiency: Excellent verbal and written English communication skills.

  • Working Schedule: Ability to work during overnight/graveyard shifts in Philippine time or within US business hours.

  • Technical Skills:

    • Highly proficient in Windows based computer applications. 

    • Highly proficient in Adobe Creative Cloud, including Illustrator and Photoshop 

    • Proficient in Google Workspace, including Drive, Voice, Meet, Docs, and Sheets 

    • Knowledge of ASI, PPAI and Sage (Preferred)

    • Knowledge of AI assisted graphic editing applications (Preferred)

    • Familiar with CLC BrandManager 360 (Preferred)

 

WHAT WE OFFER 

  • Salary Range: Php 35,000 - Php 40,000

  • Work Shift: 8:00 AM - 5:00 PM EST (USA) 

  • Workdays: Monday through Friday (USA)
