The Grants Support Officer will play a vital role in ensuring the smooth functioning of Avaaz’s grants program and team, providing administrative, logistical, and operational support across all stages of the grant-making process. This position will enable the team to focus and deliver on strategic priorities by managing key workflows, maintaining grant records, and coordinating with the campaigns and finance teams and with our grantee-partners. This role will also involve contract management and budget tracking for campaigns.

Responsibilities

You’ll work as part of the grants team, and closely with the members of the finance, legal, operations, fundraising and campaigns teams. Your role will be to support the grants team to deliver high-impact funding, hold key internal and external communications, and maintain accurate records. 

In a typical week, you will:
  • Maintain and update our internal grant tracking system, ensuring information is accurate and up to date, and supporting the team to move grants forward
  • Review incoming proposals from potential grantee partners, distill key information, and brief relevant team members
  • Communicate with grantee partners from diverse global contexts, supporting them throughout the process following proposal submission
  • Track and organize incoming reports, proposals, funding commitments and budgets in partnership with finance team
  • Conduct background research on prospective grantee partners to inform decision-making
  • Support the coordination of the grants lifecycle, helping ensure timelines are met and processes move forward smoothly
  • Proactively identify gaps or inefficiencies in tracking systems and suggest practical improvements
  • Support fundraiser commitments tracking and ensure regular, timely financial reporting
  • Improve and maintain workflows for organization and storage of documents, such as contracts, reports, decisions, and legal authorizations


Experience and Skills

Strong candidates will likely have:
  • Proven experience in administration, project coordination, or grant support, ideally within a foundation, nonprofit, grassroot movement, or philanthropic organization
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines
  • Excellent written and verbal communication skills, with sensitivity to working with diverse audiences and cultures
  • Strong relational intelligence 
  • Collaborative mindset, with a proactive and solution-oriented approach to work
Desirable:
  • AI forward - able to rapidly learn and thoughtfully apply AI tools to streamline workflows and accelerate execution. 
  • Experience in or knowledge of Avaaz’s priority areas, such as climate justice, Palestine, MENA, Indigenous rights, Sudan, Gender Equality, etc
  • Experience in grantmaking and philanthropy, and granting compliance requirements  
  • Basic understanding of budgeting and financial reporting in a grants context
  • Fluency in additional languages relevant to Avaaz’s granting work (Spanish, Portuguese, Arabic).

Location
Avaaz is a global organization, with most of our work done remotely. Our staff are based all over the world. For this position, the candidate would ideally be based in the Americas or with a considerable overlap with EST working hours, although other locations may be considered.



Compensation and Benefits

Salary varies with location and experience, and is highly competitive with leading international non-profit organisations.  
  • South & Central Americas: $63,000 - 69,000 USD equivalent
  • Greater US & Canada: $71,000 - 74,000 USD equivalent
An accurate range in local currency will be provided to candidates in other locations during the screen call.
