Job Description: 
 
Hite Consulting is seeking an experienced Grants Management Specialist to support a large federal grant program, with a primary focus on grant closeout activities. The Grants Management Specialist will review grant files and closeout documentation, identify outstanding requirements, coordinate resolution of issues, and support the timely and accurate completion of grant closeouts.

This position is well suited for a grants professional who already understands the federal grant lifecycle and can quickly learn program-specific requirements, systems, and procedures. The successful candidate will be comfortable reviewing detailed grant documentation, identifying discrepancies or missing information, communicating with grant recipients and program personnel, and independently moving assigned grants through the closeout process.

While grant closeout will be the primary responsibility, the Grants Management Specialist may also assist with other post-award and grant management activities based on program workload and priorities.

The selected candidate will report directly to the Hite Program Manager.

This position is remote. 

Position Duties:

  • Review assigned grants and supporting documentation to determine closeout readiness and identify outstanding administrative, financial, programmatic, or reporting requirements.
  • Process grant closeouts in accordance with applicable federal requirements, program policies, established procedures, and internal controls.
  • Review final performance, financial, and other required grant documentation for completeness, consistency, and compliance with closeout requirements.
  • Research grant history and supporting records to identify unresolved actions, discrepancies, missing documentation, or other issues preventing closeout.
  • Coordinate with grant recipients, program personnel, and other stakeholders to obtain required information and resolve outstanding closeout items.
  • Maintain accurate documentation of closeout activities, decisions, communications, and supporting records within applicable grant management systems and files.
  • Manage an assigned portfolio of closeout actions, monitor progress, and prioritize workload to support program production goals and established timelines.
  • Communicate clearly with grant recipients regarding documentation requirements, outstanding actions, and next steps necessary to complete closeout.
  • Identify complex or unusual grant issues requiring additional review and coordinate with appropriate program personnel or subject matter experts to support resolution.
  • Assist with other grant management and post-award activities as needed, including grant monitoring, amendments, reporting, technical assistance, and related program support.
  • Perform other related duties as assigned.

Qualifications and Education Requirements:

  • Bachelor’s degree.
  • 6+ years of professional experience; candidates with an advanced degree may qualify with 4+ years of relevant experience.
  • Working knowledge of the grant lifecycle, with experience in post-award administration and/or grant closeout activities.
  • Demonstrated ability to review grant files and supporting documentation for completeness, accuracy, and compliance with established requirements.
  • Strong organizational skills and the ability to independently manage a portfolio of assignments with multiple deadlines and priorities.
  • Strong analytical and problem-solving skills, including the ability to research grant history and identify issues requiring resolution.
  • Excellent written and verbal communication skills and the ability to communicate effectively with grant recipients, program personnel, and other stakeholders.
  • Strong attention to detail and commitment to maintaining accurate and complete grant records.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams.
  • Ability to obtain and maintain a DHS Public Trust suitability determination.

Preferred Qualifications:

  • Experience supporting federal grants or cooperative agreements.
  • Direct experience performing grant closeout or post-award grants management activities.
  • Previous experience supporting FEMA, DHS, or another federal agency.
  • Experience working with federal grant management systems or electronic grants management platforms.
  • Knowledge of federal financial assistance requirements, including the Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal Awards (2 CFR Part 200).
  • Experience communicating directly with grant recipients to resolve administrative, financial, or programmatic issues.
