About the Role

We're seeking a detail-oriented Front Desk / Insurance Authorizations Specialist to support an accredited sleep medicine practice that's helped thousands of patients sleep better, feel more rested, and get their energy back. The practice diagnoses and treats the full range of sleep disorders — sleep apnea, insomnia, narcolepsy, restless legs syndrome, circadian rhythm disorders, and more — with a care team that includes a sleep physician and nurse practitioners.

Sleep medicine sits at the intersection of several specialties: pulmonology, ENT, neurology, and even dentistry all play a role, particularly in sleep apnea diagnosis and treatment (CPAP, dental appliance therapy, upper airway surgery, and alternatives like Provent and Winx). That overlap is exactly why this role calls for someone with relevant clinical exposure and real comfort navigating insurance authorizations for a wide range of diagnostic and treatment pathways — from an initial sleep study (in-lab or at-home) all the way through ongoing CPAP supply and equipment needs.

You'll be a key point of contact for patients working through diagnosis and treatment, and the person making sure insurance requirements don't slow that process down.

What You'll Do

Insurance Authorizations & Verification

  • Manage insurance authorizations for sleep studies, CPAP equipment and supplies, and other diagnostic or treatment pathways
  • Verify insurance benefits and network status, working within insurance payer portals and platforms
  • Track authorization status and follow up proactively so patients aren't left waiting

Front Desk & Patient Communication

  • Manage a high volume of inbound and outbound patient calls (approximately 100–200 calls per day)
  • Communicate clearly with patients about next steps, whether that's scheduling a sleep study, following up after CPAP setup, or understanding what their insurance covers
  • Handle patient recall and follow-up as needed to keep patients on track through their care journey

Scheduling & Coordination

  • Coordinate and schedule patient appointments across providers
  • Support day-to-day front desk operations, keeping the practice's workflow organized and moving smoothly

Documentation

  • Maintain accurate, up-to-date patient and authorization records in Athena EMR

Requirements

Required Qualifications

  • Minimum of 2 years of medical experience in Sleep Medicine, Pulmonology, ENT (Otolaryngology), or Neurology. Dental experience may also be considered if previous practice dealt with conditions such as sleep apnea
  • Comfortable managing a high volume of patient calls (approximately 100–200/day)
  • Strong experience with insurance authorizations and verification, including familiarity with insurance payer portals and platforms
  • Comfortable assisting with patient communication, appointment coordination, scheduling, and patient recall
  • Excellent communication and customer service skills, with strong verbal and written English


Preferred Qualifications

  • Experience with Athena EMR — strongly preferred
  • Direct experience in a sleep medicine practice specifically
  • Familiarity with sleep apnea treatment pathways (CPAP, dental appliance therapy, oral/nasal devices, upper airway surgery)
