The Fleet Orientation Facilitator is responsible for planning, delivering, and administering new hire orientation for fleet drivers to ensure compliance and safety. This role also involves tracking onboarding progress, maintaining training records, and collaborating with cross-functional teams to resolve training gaps.
Duties & Responsibilities: What major responsibilities does this position have and what percentage of time is spent
on completing them? (Typically 5 – 7)
▪ Training Preparation & Logistics
o Prepare comprehensive orientation materials and participant resources for new fleet drivers
o Coordinate classroom setup to ensure the training room meets established standards for
comfort, visibility, and functionality
o Procure, organize, and distribute all participant materials, including guides, booklets, and
handouts
o Arrange and coordinate session logistics, including technology setup, catering/meals, and
audio-visual equipment
o Develop and maintain detailed session schedules and attendance documentation

▪ Training Delivery & Facilitation
o Deliver engaging, interactive orientation sessions that communicate company policies,
procedures, and safety protocols
o Facilitate learning using varied instructional methods, including presentations, discussions,
hands-on activities, and Q&A
o Maintain appropriate pacing to ensure participant comprehension and engagement
o Monitor participant understanding through observation, questioning, and assessment
techniques
o Establish a professional, inclusive, and welcoming learning environment
o Address participant questions and concerns with clarity and subject matter expertise
o Demonstrate professionalism aligned with company culture and expectations

▪ Post-Session Administration & Follow-Up
o Submit training completion records and attendance documentation through the Luma
platform in a timely manner
o Conduct post-session facility cleanup and room reset in preparation for future training events
o Track new hire progress throughout the onboarding process within the Luma system
o Conduct follow-up communications with Safety Supervisors and Trainees to ensure
completion of required signoffs and learning modules
o Identify and escalate training completion delays, discrepancies, or concerns to the appropriate

o Maintain accurate and detailed documentation of trainee progress and milestones

▪ Ongoing Training Tracking (Non-Facilitation Days)
o Monitor and track onboarding and training requirements for participants who attended
assigned orientation sessions
o Maintain ongoing compliance records and ensure training data accuracy
o Collaborate with HR, Operations, Fleet, and Site teams to resolve training gaps or
documentation issues
o Support continuous improvement efforts by identifying trends or recurring onboarding
challenges

Knowledge, Skills and Abilities (KSAs): What KSAs are required to perform this job?
▪ Knowledge of adult learning principles and effective training facilitation techniques
▪ Strong verbal, written, and presentation communication skills
▪ Ability to engage diverse audiences and manage classroom dynamics
▪ High level of organization with strong attention to detail and documentation accuracy
▪ Proficiency in using learning management systems and training tracking platforms (e.g., Luma)
▪ Ability to prioritize tasks and manage multiple onboarding timelines concurrently
▪ Strong problem-solving skills with the ability to escalate issues appropriately
▪ Proficiency with classroom technology and audio-visual equipment
Work Experience &/or Education: What are the minimum education and/or experience requirements necessary to
perform this job?
▪ High school diploma or equivalent required
▪ Previous experience facilitating training, orientation, or instructional sessions preferred
▪ Experience in safety, operations, fleet, or transportation environments preferred
▪ Experience using learning management systems or training tracking platforms strongly preferred
