The Fleet Administrator is responsible for maintaining accurate vehicle and driver data while supporting fleet operations, compliance, and incident administration. They will coordinate vehicle movements, manage documentation, and provide administrative support to operational teams.

About the Role
We are looking for a Fleet Administrator to provide administrative and data management support to the Fleet Department and wider business. The role focuses on maintaining accurate fleet records and systems, supporting vehicle allocation and availability, assisting with compliance and incident administration, and ensuring smooth day-to-day fleet operations.
Your Duties
Maintain accurate vehicle, driver, and fleet data across internal and external systems.
Perform data entry and administrative tasks across fleet databases and systems.
Ensure fleet records are complete, accurate, and up to date.
Coordinate and reconcile information across different fleet systems.
Manage vehicle and driver information in line with GDPR and company policies.
Support vehicle allocation, returns, and leaver processes.
Track vehicle movements and availability to support efficient fleet operations.
Ensure required vehicle documentation and system updates are completed accurately and on time.
Support the administration of accident, SMR, and incident records.
Assist with fleet compliance, safety, and audit requirements.
Communicate maintenance schedules and vehicle requirements to operational teams.
Respond to routine fleet-related queries and escalate issues when required.
Provide basic guidance to operational teams on fleet systems and administrative processes.
Maintain effective communication with clients, candidates, and other stakeholders where required.
Identify opportunities to improve data accuracy and administrative processes.
Support continuous improvement across fleet administration activities.
Carry out other reasonable duties as requested.
Requirements
1–2+ years of experience in administration, data management, operations support, or a similar role
Strong administrative and organizational skills with excellent attention to detail.
Good analytical and problem-solving skills.
Strong written and verbal communication skills.
Good stakeholder engagement and a solutions-focused approach.
Experience using Microsoft 365, including Outlook, Word, Excel, SharePoint, and Teams.
Ability to maintain accurate and confidential records.
Understanding of GDPR and the importance of data accuracy and confidentiality.
Positive, flexible approach with a willingness to learn and develop.
Experience working with fleet, vehicle, or asset management processes is an advantage.
Experience using Jaama Key2 or a similar fleet management system is a plus.
Experience communicating progress and information to stakeholders is desirable.
