The Role We are seeking a professional and compassionate full-time, fully remote Financial Services Representative (FSR) to guide patients through the financial side of fertility care. Supporting an assigned team physician, you’ll be the go-to resource for insurance benefits, treatment cost estimates, and payment coordination for diagnostic testing and assisted reproductive technologies (ART). Many patients come to us overwhelmed by complex coverage and payment options. This role is ideal for someone who can explain the numbers clearly, handle sensitive conversations with discretion, and make a stressful part of the journey feel manageable. What You’ll Do You’ll own each patient’s financial experience from treatment planning through cycle completion, working closely with physicians, nurses, and clinical coordinators so financial and clinical workflows stay aligned. Financial counseling: Review treatment plans with patients before care begins and explain costs, insurance benefits, and out-of-pocket responsibilities for diagnostics, IUI, IVF, fertility preservation, and related medications. Insurance verification and authorization: A third-party partner performs verifications and prior authorizations, and you own their accuracy and follow-up. You’ll confirm eligibility and benefits, secure authorizations and referrals, and work with carriers to resolve denials and coverage discrepancies. Estimates, payments, and clearance: Prepare accurate treatment estimates and consents, collect payments per clinic policy, coordinate with third-party financing programs, and ensure financial clearance before treatment start dates. Billing and account accuracy: Complete daily charge entry for IVF cycles and verify superbills, finalizing by month end. Monitor accounts through cycle completion and partner with the Central Billing Office on refunds and adjustments. Patient support: Respond promptly to patient questions by phone and email, and follow up on outstanding balances with professionalism and sensitivity. Team support: Review the physician schedule a few days out to keep it full and accurate, cover FSR positions during absences, and help train new FSRs. Maintain accurate EMR and billing documentation in line with clinic policy, payer requirements, and HIPAA. What We’re Looking For High school diploma or equivalent and a minimum of 2 years’ experience in medical billing, insurance verification, or financial counseling Strong understanding of insurance plans, benefits, and prior authorization processes Ability to explain complex financial and insurance information clearly and compassionately Strong attention to detail and the ability to manage multiple priorities in a fast-paced clinical environment Excellent communication, organizational, and customer service skills, with discretion when handling sensitive information Preferred: experience in infertility, reproductive endocrinology, OB/GYN, or specialty practice; familiarity with ART procedures and fertility benefit structures; EMR and practice management system experience Preferred: Associate’s or Bachelor’s degree in healthcare administration, business, or a related field Schedule Full-time, fully remote position, 40 hours per week. Monday through Friday, 7:30 a.m. to 4:30 p.m. ET, with a rotating Saturday shift from 11:00 a.m. to 3:00 p.m. approximately every six weeks. Saturday hours are balanced with comp time during the week to maintain a 40-hour schedule.
