We are looking for a highly experienced, intelligent, proactive, and business-oriented Executive Virtual Assistant to support senior management in a fast-paced commercial real estate and industrial outdoor storage business environment. The ideal candidate must have prior experience working in the same or a highly similar industry, including commercial real estate, industrial outdoor storage (IOS), property management, real estate investment, acquisitions, leasing coordination, or development operations.

Industry Background Requirement

Candidates with previous experience in commercial real estate firms, industrial outdoor storage companies, property acquisition firms, real estate investment companies, logistics property management, construction-related real estate operations, or industrial asset management will be strongly preferred. Experience supporting executives in acquisitions, leasing, tenant coordination, due diligence, market research, CRM management, and investor communication is highly valuable.

Key Responsibilities

  • Manage executive calendars, meetings, appointments, and business schedules.
  • Handle professional email correspondence and follow-up communication with investors, brokers, tenants, and clients.
  • Assist in real estate acquisition coordination, due diligence tracking, and document organization.
  • Coordinate leasing activities, property-related communication, and operational follow-ups.
  • Conduct market research on commercial real estate, industrial outdoor storage properties, and investment opportunities.
  • Maintain CRM systems, spreadsheets, investor databases, and operational reports.
  • Prepare reports, presentations, summaries, and meeting minutes.
  • Coordinate with brokers, legal teams, vendors, contractors, and internal departments.
  • Track tasks, deadlines, and operational activities using ClickUp, Asana, Trello, or similar systems.
  • Support senior management with administrative, operational, and strategic business activities.
  • Handle confidential business information with professionalism and integrity.
  • Ensure strong communication discipline and fast response time.

Requirements

  • Minimum 3–5 years of experience as a Virtual Assistant, Executive Assistant, Real Estate Coordinator, or Administrative Executive.
  • Mandatory experience in commercial real estate, industrial storage, property investment, or related industries.
  • Excellent written and verbal English communication skills.
  • Strong command of Microsoft Office Suite and Google Workspace.
  • Advanced reporting, spreadsheet management, and organizational skills.
  • Ability to work independently with minimal supervision.
  • High ownership mentality with excellent problem-solving skills.
  • Experience handling confidential and sensitive information.
  • Strong multitasking and deadline management abilities.
  • Professional remote work setup with stable internet connectivity.
  • Ability to work according to US business hours if required.

Preferred Qualifications

  • Experience supporting commercial real estate executives or investment firms.
  • Knowledge of leasing documentation, acquisitions, tenant coordination, and property operations.
  • Hands-on experience with CRM systems and project management tools.
  • Experience in industrial outdoor storage (IOS) or logistics-related real estate operations.
  • Understanding of real estate terminology and transaction processes.
