About the Role

We are seeking a highly organised, analytical, and commercially minded Executive Operations Support to partner with the Managing Director of Property Management and the leadership team.

This is far more than a traditional Executive Assistant role. You'll act as a trusted business partner, helping leaders prioritise initiatives, improve operational performance, develop meaningful reporting, and create systems that enable better business decisions.

Success in this role requires someone who enjoys understanding how a business operates, not just managing tasks, but identifying opportunities for improvement, translating business priorities into measurable outcomes, and ensuring leaders have the right information to make informed decisions.

Key Responsibilities
Executive Partnership:

  • Proactively manage executive priorities, calendars, meetings, travel, and business commitments.
  • Prepare executive briefing papers, presentations, reports, and meeting documentation.
  • Coordinate communication between executives, leadership teams, external stakeholders, and advisors.
  • Anticipate business needs and proactively remove operational roadblocks.
  • Act as a trusted partner by helping leadership stay focused on strategic priorities.

Business Performance & Reporting

  • Develop, maintain, and continuously improve executive dashboards and KPI reporting.
  • Translate business objectives into meaningful performance measures and success metrics.
  • Analyse operational and financial data to identify trends, risks, and opportunities.
  • Prepare monthly leadership reports and support board reporting.
  • Evaluate existing reports and recommend improvements that provide greater business insight.
  • Ensure reporting focuses on meaningful business outcomes rather than simply measuring activity.

Operational Excellence:

  • Review business workflows and recommend improvements that increase efficiency and accountability.
  • Build scalable systems, templates, and operating procedures.
  • Collaborate across departments to improve communication and operational effectiveness.
  • Drive consistency across recurring business processes.
  • Support change initiatives and process improvement projects.

Finance Administration: 

  • Support budget tracking, revenue reporting, and expense monitoring.
  • Assist with financial reconciliations and reporting activities.
  • Maintain reporting accuracy across multiple business systems.
  • Support CRM administration and business data integrity.


Other Responsibilities

  • Complete additional tasks and projects as assigned by leadership.
  • Maintain confidentiality and professionalism in handling sensitive financial and executive information.
  • Stay proactive in identifying opportunities to improve systems, reporting, and support processes.
  • Contribute to a collaborative and high-performing remote team environment.


About You

Essential

  • 3+ years experience supporting senior executives or business owners.
  • Strong analytical and problem-solving skills.
  • Ability to interpret business information and identify actionable insights.
  • Experience creating executive dashboards, KPIs, scorecards, or business reports.
  • Advanced Excel or Google Sheets skills.
  • Strong attention to detail.
  • Excellent written and verbal communication.
  • Highly organised and proactive.
  • Comfortable working independently.
  • Ability to manage multiple competing priorities.

Highly Regarded

  • Experience in operations, business analysis, project coordination, or consulting.
  • Exposure to finance, bookkeeping, or management reporting.
  • Experience developing KPIs or performance frameworks.
  • Experience improving business processes.
  • Experience supporting Australian businesses.
