RESPONSIBILITIES

 

Strategic Execution & Priority Management:

  • Track and drive progress across CEO priorities and key business initiatives

  • Maintain a centralized view of decisions, follow-ups, risks, and bottlenecks

  • Identify gaps or delays and escalate with proposed solutions

  • Ensure alignment across internal teams, timelines, and deliverables

  • Own and move forward select internal projects from start to finish

Executive & Business Operations Support:

  • Oversee the CEO's calendar, inbox, and scheduling priorities

  • Prepare meeting agendas, briefing documents, and post-meeting recaps within 24 hours

  • Act as liaison between the CEO and internal teams across operations, finance, legal, client projects, and content

  • Track key decisions, approvals, and outstanding deliverables across all workstreams

  • Coordinate travel and high-priority logistics in alignment with CEO priorities

  • Manage studio scheduling and coordinate with operations as needed

Business Rhythm, Systems & Infrastructure:

  • Maintain daily, weekly, and monthly workflows that keep the business running smoothly

  • Track outstanding items across contracts, payments, hiring, CRM, and projects

  • Maintain and update SOPs, workflows, and internal documentation

  • Own and optimize the agency's technology ecosystem, including Google Workspace, project management tools, and automation platforms

  • Conduct quarterly systems audits and troubleshoot technical issues as they arise

Executive Support & Personal Logistics:

  • Manage personal scheduling and logistics in support of CEO effectiveness

  • Coordinate key appointments, travel, and personal priorities

  • Support financial organization and administrative tracking where needed

  • Handle ad hoc requests that support both business and personal priorities

ABOUT YOU

  • 2–4 years of experience in executive support, business development, operations, or a similar role

  • Exceptional organizational skills with strong attention to detail and follow-through

  • Strong business judgment and the ability to quickly understand client and agency needs

  • Excellent written and verbal communication skills

  • Proactive, solutions-oriented mindset with the ability to anticipate needs before they're asked

  • Comfortable working independently in a fast-paced, evolving environment

  • High level of discretion, professionalism, and emotional intelligence

  • Strong technical proficiency across Google Workspace, CRM systems, and project management tools

  • Based in Colombia, with a reliable remote setup to support real-time collaboration with a U.S.-based CEO

  • Fluent English proficiency, with polished written and verbal communication

  • Experience in experiential marketing, events, or creative agency environments

  • Background in sales support or business development

  • Familiarity with agency workflows and client service models

  • Previous experience supporting founders or C-level executives
