We're looking for a highly organized, proactive Executive & Administrative Assistant who takes ownership, executes with excellence, and thrives in a fast-paced entrepreneurial environment. Location: Texas (applicants near Austin are a plus, but not a requirement)
Schedule: Full-time | Monday–Friday | 9:00 AM–5:00 PM CST
Your Mission: Day to Day Responsibilities
Own executive calendar management, scheduling, inbox organization, and daily priorities.
Drive projects from kickoff to completion, ensuring nothing falls through the cracks.
Follow up proactively with team members, vendors, and clients until commitments are completed.
Handle administrative tasks quickly, accurately, and independently.
Coordinate meetings, agendas, notes, and action items.
Prepare reports, presentations, spreadsheets, and business documents.
Document processes and continuously improve operational systems.
Identify inefficiencies and implement smarter workflows.
Manage confidential information with professionalism and discretion.
Answer client and vendor calls with confidence and excellent communication.
Assist with occasional errands or special projects as needed.
Track project progress and KPIs, providing consistent updates to leadership.
Your Toolbox: Skills to be Successful
3+ years in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role.
Experience supporting founders, executives, or business owners.
Exceptional organization, attention to detail, and follow-through.
Strong written and verbal communication skills.
Comfortable making decisions independently and solving problems proactively.
Able to juggle multiple priorities without sacrificing quality.
Tech-savvy with the ability to quickly learn new systems.
Experience with Google Workspace, Asana, Slack, Zoom, HighLevel (GHL), AI tools, spreadsheets, or similar platforms.
Real estate experience or familiarity with industry terminology is highly valued.
Fluent in both English and Spanish is preferred.
