We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the CEO. Key Responsibilities

Executive & CEO Support

  • Provide high-level administrative, operational, and confidential support to the CEO.
  • Manage and prioritize the CEO’s daily workflow, projects, and action items.
  • Create, maintain, and monitor task lists, ensuring deadlines and priorities are met.
  • Handle sensitive information with discretion and professionalism.
  • Assist with special projects, research, and strategic initiatives as assigned.

Business & Strategic Support

  • Build and maintain positive, professional relationships with internal and external stakeholders.
  • Serve as a representative of the CEO in communications and business interactions.
  • Support business development, strategic planning, and innovation initiatives.
  • Coordinate and liaise with executive leadership and department directors on behalf of the CEO.
  • Conduct research, gather data, and prepare reports and findings for executive review.
  • Proactively identify challenges and implement effective solutions.

Communication Management

  • Act as the primary point of contact for incoming inquiries directed to the CEO.
  • Draft, proofread, edit, and distribute correspondence, reports, presentations, memos, and executive briefings.
  • Facilitate communication between the CEO and stakeholders, clients, and team members.
  • Prepare and distribute internal communications as needed.
  • Ensure all written communications maintain a high level of professionalism and accuracy.

Executive Administration

  • Manage the CEO’s calendar, email inbox, appointments, and scheduling priorities.
  • Coordinate meetings, including preparation of agendas, meeting materials, minutes, and follow-up actions.
  • Arrange travel, accommodations, hospitality, and logistics for business-related activities.
  • Process registrations for conferences, training programs, seminars, and industry events.
  • Manage expense reports, reimbursements, and receipt tracking.
  • Maintain accurate records, databases, contact lists, and filing systems.
  • Perform data entry and administrative tasks with a high degree of accuracy.

Qualifications

  • 3+ years of experience supporting C-level executives, senior leadership, or similar executive support roles.
  • Advanced English communication skills, both written and verbal.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with virtual meeting platforms such as Zoom, Microsoft Teams, Google Meet, and WebEx.
  • Excellent internet research and information-gathering abilities.
  • Typing speed of at least 65 words per minute.
  • Exceptional organizational and time-management skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Experience coordinating travel, meetings, and executive calendars preferred.
