Position Overview
The Executive Assistant will report to the Chief Human Resources Officer (CHRO) and provide
administrative support to up to 4 executives across the business. This role is focused on
delivering high-quality executive support through strong organization, communication, and
coordination skills in a fast-paced SaaS environment.
The ideal candidate is highly organized, detail-oriented, collaborative, and able to manage
multiple priorities while maintaining professionalism and discretion. This position requires
strong calendar management, meeting coordination, travel planning, and communication
support skills.
Primary Responsibilities
Executive Calendar Management
Manage complex calendars for up to 4 executives, including scheduling meetings, resolving
conflicts, coordinating priorities, and maintaining focus time where appropriate.
Travel Coordination & Expense Management
Coordinate domestic and international travel arrangements including flights, hotels,
transportation, itineraries, and related logistics. Prepare and submit expense reports using
Concur or similar systems.
Meeting & Event Coordination
Coordinate logistics for leadership meetings, team meetings, offsites, and internal events.
Prepare meeting invitations, agendas, materials, and follow-up action items as needed.
Administrative Support
Provide day-to-day administrative support including document preparation, correspondence,
file organization, and support for presentations and reporting materials.
Communication Support
Serve as a professional point of contact for internal and external stakeholders. Ensure timely
communication and appropriate follow-up on behalf of supported executives.
Cross-Functional Coordination
Partner effectively with other Executive Assistants and business teams to support scheduling
alignment, meeting logistics, and company initiatives.
Confidentiality & Professionalism
Handle sensitive and confidential information with discretion and professionalism at all times
Key Skills and Competencies
3-6 years of Executive Assistant or Administrative Assistant experience supporting senior
leaders
Strong organizational and time management skills
Excellent written and verbal communication skills
Ability to prioritize multiple tasks and adapt in a fast-paced environment
Proficiency with:
Microsoft 365
Slack
Confluence
Concur or similar expense management tools
Preferred Experience and/or Qualifications
Experience supporting leaders in a SaaS or technology company
Experience coordinating travel and meetings across multiple time zones
Familiarity with basic financial or budget-related process
