POSITION DETAILS


Dakota Matting & Environmental Solutions is seeking a highly organized, detail-driven DOT Compliance Coordinator to run the day-to-day operations of our fleet compliance program. Reporting to the DOT & Fleet Compliance Specialist, you will own the recurring, time-sensitive work that keeps our multi-state commercial fleet compliant with FMCSA regulations: driver qualification files, drug and alcohol testing, Hours-of-Service monitoring, driver coaching, compliance reporting, and vehicle registration renewals. This position is fully remote for candidates based in Florida; however, strong preference will be given to candidates able to work on-site at our Coral Springs office.


This is a phone-intensive role. You will spend a significant portion of every day on inbound and outbound calls with drivers — notifying them of random test selections, intervening before Hours-of-Service violations occur, and coaching them on compliance issues. Success requires professionalism, persistence, and the confidence to be direct and assertive when enforcing federal, state, and local regulations and company policies.


For the right candidate, this is an excellent entry point into the DOT compliance field, offering hands-on experience with industry-leading platforms.


KEY RESPONSIBILITIES


Driver Qualification & Onboarding

  • Onboard new CDL and non-CDL commercial drivers and continuously maintain their Driver Qualification (DQ) files through Foley
  • Monitor and act on all compliance alerts, ensuring documents such as CDLs and medical cards are updated before they expire
  • Work with Foley to run FMCSA Drug & Alcohol Clearinghouse queries — full pre-employment queries for new CDL drivers and annual limited queries for existing CDL drivers
  • Process annual Motor Vehicle Record (MVR) reviews as part of ongoing DQ file maintenance


Drug & Alcohol Testing Program

  • Notify drivers selected for random testing by phone — 50% of the fleet annually for drug tests and 10% for alcohol tests, consistent with FMCSA minimum testing rates
  • Coordinate with collection sites to ensure every test is completed on time
  • Coordinate post-accident and reasonable-suspicion testing when the need arises, ensuring drivers are tested within FMCSA-required time frames and all documentation is completed


Hours-of-Service Monitoring & Driver Coaching

  • Respond to all Samsara Hours-of-Service (HOS) preventative alerts by calling the driver before the violation is triggered and confirming they have stopped driving
  • Conduct daily audits and coach drivers by phone on HOS violations, missing Driver Vehicle Inspection Reports (DVIRs), unassigned driving, misuse of Personal Conveyance (PC), non-compliant DQ files, dash-cam safety events, and any other violation described in 49 CFR Parts 380–397
  • Document every coaching interaction in the driver coaching log
  • Work closely with the DOT & Fleet Compliance Specialist to identify repeat offenders who, despite multiple coaching attempts, need to be escalated to the disciplinary phase


Compliance Reporting

  • Prepare the weekly DOT snapshot report covering HOS violations, missing DVIRs, unassigned driving, speeding and safety events, missing driver training, and other compliance metrics
  • Produce ad-hoc compliance reports as needed, including the monthly device-health and vehicle odometer-jump reports in Samsara


Samsara Administration & Driver Support

  • Set up driver and asset profiles and assign driver training through the Samsara portal
  • Serve as the go-to resource for anything Samsara-related — helping drivers resolve app issues and processing log-correction requests (Records of Duty Status edits) promptly by phone and email


Vehicle Registrations & Inspections

  • Respond to all vehicle and trailer registration and annual inspection renewal notifications, ensuring every registration and inspection is renewed before expiration


Audit & Roadside Inspection Support

  • Assist the DOT & Fleet Compliance Specialist with audit preparation and mock audits by gathering, organizing, and producing requested documentation
  • Process roadside inspection reports, ensuring violations are documented, addressed, and routed into driver coaching where appropriate


JOB REQUIREMENTS

Minimum Qualifications

  • Comfortable with extensive inbound and outbound phone work — much of this job happens on the phone
  • Confident being direct and assertive in difficult conversations; you will enforce federal, state, and local regulations and company policies, which sometimes means delivering messages drivers don't want to hear
  • Tech-savvy and comfortable working across multiple software systems and cross-referencing data and information between them
  • Exceptional organization, attention to detail, and consistency, with the ability to follow written and verbal instructions and established procedures precisely
  • A quiet, professional home workspace with reliable high-speed internet — this role requires clear, uninterrupted phone conversations throughout the day
  • Associate's degree in a related field, or equivalent experience


Preferred Qualifications

  • At least 1 year of DOT compliance experience in a similar role
  • Demonstrated working knowledge of FMCSA rules and regulations, with the ability to perform effectively with minimal subject-matter training
