The specialist will manage global shipping documentation, regulations, and business processes while serving as a central knowledge hub for agencies. They are also responsible for representing documentation requirements in IT projects and managing Bill of Lading templates and secure paper procurement.
We are looking for a Doc. & Business Processes Specialist that will handle the following:
Working Procedures and Regulations in Shipping (Documentation):
Receive regulations from all countries and analyze their local and global implications and then issue working instructions and procedures to the agents.
Ensure implementation with counterparties: Country Managers, Regional Customer Service Managers and Country Customer Service Managers
Write and update Quality Assurance corporate policies, distribute working instructions and new shipping procedures (including user guides) and maintain the portals and corporate website when relevant.
Serve as a worldwide knowledge center for all agencies regarding regulations, compliance with regulations and commercial documentation.
Responsible for all Manifest Corrections process implementation, ensuring correct reason code registration and implementing the correct KPI determined by company management.
Central Tables updates, writing procedures for correct processes related to the CT and ensuring compliance.
Available after office hours (including weekends etc.) for emergency inquiries from worldwide agents in different time zones regarding regulations and work processes.
Represent Documentation in Projects:
Specializing in international regulations with ability to analyze requirements and impacts (including IT developments) and implement new processes with worldwide agencies.
Analyze complex situations between agencies and mediate between parties for a beneficial outcome.
Approach all professional parties in and outside the company for guidance and clarifications, such as legal advisors and international shipping organizations (e.g., World Customs Organization).
Represent business requirements in all documentation and regulatory issues when working with IT, including development of ways to implement new developments in the agencies.
Design and define needs and write BRDs and requests for IT developments and enhancements.
Contribute and verify that all shipping-related issues, procedures and work instructions are properly addressed in projects.
Responsible for Bill of Lading:
Manage and update all B/L templates (35) of all companies. Requires working with Corporate Legal Advisors and Claims and Insurance Division.
Manage template changes with printing suppliers and agencies.
Manage the purchase of secure paper used for Original B/Ls to avoid fraud worldwide.
Work Location: Israel (on-site) or remotely from the Regional Office in Virginia Beach or Hong Kong
Requirements
Bachelor’s Degree - a must
Minimum 5 years of proven experience in a shipping agency environment, or extensive end-to-end shipping documentation experience - a must
Demonstrated experience or high-level capabilities in implementing and standardizing processes on a global scale- a must
Strong business English communication skills, both written and verbal - a must
Flexibility to provide occasional support outside regular business hours, as required- a must
