The Distribution Specialist I supports the Distribution Services Department by managing intermediary agreements, monitoring correspondence, and processing invoices. They also assist with client reporting, website maintenance for the distribution program, and special projects involving client data management.
SUMMARY
The Distribution Specialist I is responsible for supporting the functions of the Distribution Services Department within the Transfer Agency. Additionally, this role will assist in maintaining relationships between Ultimus mutual fund clients and the financial intermediaries trading our partner funds.
KEY ACCOUNTABILITIES
INTERMEDIARY AGREEMENTS
- Supports the team in executing standard dealer agreements and processes them according to the workflow that is in place.
- Files executed agreements and maintains relevant databases to archive agreements.
- Provides reporting to trust boards, clients, and internal colleagues.
- Resolves any questions or issues clients or dealers may have related to agreements.
CLIENT SUPPORT
- Monitors the Distribution Services mailbox and allocates correspondence accordingly.
- Provides reports and updates as requested by clients and internal colleagues.
INTERMEDIARY INVOICES
- Receives intermediary invoices and reviews for accuracy.
- Calculates allocations between fund expenses and advisor expenses when needed.
- Resolves any unpaid invoices or invoices that require follow-up.
ULTIMUS DISTRIBUTION ADVANTAGE PROGRAM
- Maintains the UDA website, specifically intermediary requirements, and pricing.
- Provides support for the UDA Shared Events program, as necessary.
SPECIAL PROJECTS
- Uploads client data to DTCC MFPS Profile II database.
- Assists in the implementation of new services.
WORKING RELATIONSHIPS
- Contact as needed with clients regarding general information, resolution of issues, inquiries, or reporting requirements.
- Contact with members of team and internal teams regarding follow-up on inquiries, open workflow, etc.
May perform other duties as required or assigned.
