Job Overview

We are seeking a motivated, client-focused, and results-driven Detained Consultation Coordinator to join our team. The ideal candidate will be responsible for conducting consultations with the family members of prospective detained clients, guiding them through the legal representation process, and helping them make informed decisions regarding legal services. This role requires strong communication skills, active listening, attention to detail, and the ability to build trust while maintaining a high level of professionalism and empathy.

Key Responsibilities

  • Conduct consultations with the family members of prospective detained clients — listening to their situation, explaining the firm's services, and guiding them through the decision to retain legal representation
  • Complete pre-consultation follow-up calls to confirm appointments and gather necessary information before each meeting
  • Follow up after every consultation to answer questions, address concerns, and assist families through the retention process
  • Actively listen and document — capture detailed, accurate notes on each client's immigration history and circumstances
  • Discuss fees, payment options, and financing clearly and professionally, without pressure
  • Process retainer payments and assist with contract execution when applicable
  • Maintain accurate records in the firm's case management and CRM systems — every interaction, every detail, on time
  • Coordinate with attorneys and intake specialists to ensure smooth case progression from consultation through onboarding
  • Meet or exceed KPIs established for the role — you take performance seriously and hold yourself accountable
  • Handle all client information with strict confidentiality and professionalism

Required Qualifications

  • High school diploma or equivalent required
  • 1–2 years of experience in a client-facing, sales, customer service, or consultation-based role
  • Fully bilingual in English and Spanish — written and verbal (required)
  • Strong active listening and note-taking abilities
  • Excellent organizational and time management skills
  • Tech-savvy with the ability to learn and navigate multiple software platforms quickly
  • Professional demeanor with strong interpersonal skills

Preferred Qualifications

  • Experience in a legal, immigration, or professional services environment
  • Comfort discussing contracts, retainers, or payment plans
  • Familiarity with HubSpot, Monday.com, Filevine, Vinesign, or similar platforms
