You can work independently, stay organized when priorities shift and remain calm when deadlines are tight. You're comfortable managing large volumes of information, working across multiple systems and collaborating with internal teams, suppliers and attendees.

What you’ll be doing

  • Manage the full delegate journey, including registration, communication, travel coordination and attendee support

  • Coordinate travel bookings and related logistics while ensuring compliance with client and project requirements

  • Maintain accurate participant data, reporting and tracking through event and CRM platforms

  • Act as the primary contact for delegates, resolving issues professionally and efficiently

  • Collaborate closely with Project Managers, suppliers and client stakeholders to ensure seamless event delivery

  • Identify opportunities to improve processes, reporting and delegate management workflows through technology, automation and AI

What you’ll bring

Experience & skills

  • 3+ years of experience in delegate management, participant management, travel coordination or event operations

  • Experience working within the pharmaceutical and/or healthcare industry

  • Strong travel booking experience, including managing complex attendee travel arrangements

  • Advanced Excel skills and confidence working with large data sets, reporting and data quality management

  • Strong digital and technical skills, with the ability to quickly learn and work across multiple platforms and tools

  • Ability to work independently, manage competing priorities and maintain attention to detail in a fast-moving environment

  • Fluent in spoken and written English and German
