Orgenesis is seeking a detail-oriented, analytical, and highly organized Database Assistant to support the management, maintenance, integrity, and security of organizational databases across clinical, operational, research, financial, and administrative functions.
The Database Assistant is responsible for entering, updating, validating, monitoring, and maintaining data within company database systems while supporting reporting, data quality initiatives, and operational efficiency. This role contributes to Orgenesis’ mission of advancing cell and gene therapy solutions through its global POCare™ platform by ensuring accurate, reliable, and secure information management.
The ideal candidate possesses strong technical aptitude, exceptional attention to detail, and the ability to work with large datasets in a highly regulated healthcare and biotechnology environment.
Essential Responsibilities
Database Maintenance & Management
- Maintain, update, and monitor company databases to ensure accuracy and completeness.
- Enter, verify, and modify records within database management systems.
- Perform routine database maintenance activities and data updates.
- Ensure proper organization and accessibility of stored information.
- Support database cleanup, archiving, and retention initiatives.
Data Entry & Validation
- Input high-volume data accurately into company systems and databases.
- Verify data against source documentation to ensure accuracy.
- Identify, investigate, and resolve data discrepancies.
- Perform regular data quality checks and validation procedures.
- Ensure consistency of information across multiple systems.
Data Quality & Integrity
- Monitor database performance related to data accuracy and integrity.
- Conduct audits to identify duplicate, incomplete, or inaccurate records.
- Assist in developing and implementing data quality standards.
- Maintain data governance practices and documentation.
- Support continuous improvement efforts related to data accuracy.
Reporting & Data Analysis Support
- Generate routine reports, summaries, and dashboards for management review.
- Compile and organize data for operational, clinical, financial, and research reporting.
- Assist departments with ad hoc reporting requests.
- Support trend analysis and performance metric tracking.
- Maintain reporting templates and documentation.
Database Security & Compliance
- Follow established data security policies and access control procedures.
- Maintain confidentiality of sensitive company, employee, patient, research, and financial information.
- Support compliance with applicable privacy and regulatory requirements.
- Assist with audit preparation and compliance documentation.
- Report security concerns, data issues, or system irregularities promptly.
Documentation & Recordkeeping
- Maintain accurate documentation of database procedures and activities.
- Update database user guides, process documentation, and standard operating procedures.
- Track database changes, updates, and maintenance activities.
- Assist in maintaining records retention and data lifecycle documentation.
- Support document management and information governance initiatives.
Cross-Functional Collaboration
- Work closely with Information Technology, Clinical Operations, Research, Finance, Human Resources, Compliance, and Administrative teams.
- Respond to database-related inquiries and support requests.
- Assist with database-related projects and system implementations.
- Participate in data migration, testing, and validation activities.
- Support enterprise-wide data management initiatives.
Process Improvement
- Identify opportunities to improve database efficiency and data quality.
- Recommend process enhancements and automation opportunities.
- Assist in testing new database tools and technologies.
- Support implementation of improved workflows and reporting solutions.
Required Qualifications
Education
- High School Diploma or GED required.
- Associate Degree in Information Technology, Database Management, Information Systems, Business Administration, Healthcare Administration, or related field preferred.
Experience
- 1–3 years of experience in database administration support, data entry, records management, data processing, or administrative support.
- Experience working with databases and data management systems preferred.
- Experience in healthcare, biotechnology, pharmaceutical, research, or regulated industries is a plus.
Technical Skills
- Proficiency in Microsoft Office Suite, particularly Excel and Access.
- Experience with database management systems and data entry applications.
- Familiarity with CRM, ERP, and document management platforms.
- Strong analytical and problem-solving skills.
- Ability to work with large datasets while maintaining accuracy.
- Basic knowledge of database concepts and reporting tools preferred.
Preferred Qualifications
- Associate’s or Bachelor’s Degree in a related discipline.
- Experience supporting database administration or data management functions.
- Familiarity with healthcare, biotechnology, or clinical research data.
- Knowledge of data governance and information security practices.
- Experience with SQL or database reporting tools is a plus.
