Job Summary
The Credentialing Coordinator supports the Credentialing Department by managing all administrative, communication, and document-collection activities related to the onboarding, credentialing, recredentialing, and privileging of clinical staff. This role ensures that all required documents are collected, organized, tracked, and prepared for verification by the Credentialing Specialist.

Essential Duties/Responsibilities
Communication & Candidate or Staff Coordination
Serve as the primary administrative contact for all new staff during onboarding
Communicate clearly with candidates on what to expect throughout the credentialing process
Send reminders and follow up on outstanding documents to ensure timely completion and prevent onboarding delays
Coordinates communication between Credentialing, People Operations, department leaders, and external licensing or training entities
Document Collection & Tracking
Request, collect, and track all required documents across all disciplines (ID, CV, licenses, certifications, education records, immunization records, etc.)
Ensure all documents are complete, accurate, and received prior to verification by the Credentialing Specialist
Monitor expirations (licenses, DEA, life support certifications) and communicate with staff to obtain updates
Maintain accurate logs, spreadsheets, checklists, and credentialing databases
File Assembly & Preparation
Compile credentialing documents for review by the Credentialing Specialist, Department Chair, or Department Director
Organize all documents in accordance with HRSA best-practice standards for credentialing documentation.
Ensure all required elements are present prior to formal verification steps
Workflow & Process Support
Coordinate meeting schedules, committee packet deadlines, and communication timelines
Support weekly cross-departmental meetings by providing status updates and identifying documentation gaps
Helps streamline administrative workflows to reduce bottlenecks for Credentialing Specialists
Assists in maintaining audit-ready credentialing files to support HRSA Operational Site Visits and FTCA requirements
Customer Service & Departmental Support
Provides timely assistance to staff regarding document needs or process questions
Collaborate with internal teams to ensure smooth onboarding and timely start dates
Supports continuous quality improvement efforts within the credentialing department
QualificationsRequired Skills/Abilities
Knowledge of healthcare regulations, including those related to Medicare, Medicaid, and commercial insurance plans.
Strong organizational and communication skills.
Attention to detail and ability to manage multiple tasks simultaneously.
Proficient in Microsoft Office Suite
Education and Experience
Minimum of two (2) years of experience in clinical credentialing
Experience working with credential software such as MD Staff, preferred.
