Work Schedule:

  • Full-time, Monday–Friday

Compensation: $30.50 - $32.50 per hour, based on experience, qualifications, and other relevant factors.

We are seeking a detail-oriented, compliance-focused School Certifying Official (SCO) to support the accurate and timely administration of VA educational benefits across assigned campuses.

This role is responsible for reviewing required documentation, entering and maintaining VA awards within institutional systems, and certifying student enrollment through VA Enrollment Manager. The SCO plays an important role in maintaining regulatory compliance, data accuracy, and audit readiness while providing responsive support to our military-affiliated students.

The ideal candidate brings hands-on experience administering VA education benefits, strong knowledge of VA certification requirements and systems, and exceptional attention to detail in a deadline-driven environment.

Key Duties

  • Review and validate required documentation to determine student eligibility for VA educational benefits
  • Enter and maintain VA awards in Anthology Student/Web Client, ensuring accurate tuition, fee, and benefit information
  • Certify student enrollments through VA Enrollment Manager, including initial certifications, adjustments, and term updates
  • Process enrollment changes, including adds/drops, withdrawals, program changes, and graduations, within required VA reporting timelines
  • Maintain accurate and complete VA student records with supporting documentation for certifications and adjustments
  • Monitor and assist with resolving VA discrepancies, overpayments, and debts in partnership with internal departments
  • Review enrollment status, satisfactory academic progress, and concurrent aid awards to identify and escalate potential VA overpayments or student debt
  • Support compliance with key VA requirements, including:
    • Enrollment and attendance reporting accuracy
    • Tuition and fee reporting
    • Timely certifications and adjustments
  • Maintain organized, audit-ready documentation to support Risk-Based Surveys and VA compliance reviews
  • Perform reconciliation reviews between the student information system and Enrollment Manager to verify certified credit or clock hours, tuition, and fees
  • Identify and report discrepancies to the Manager of Veteran Affairs
  • Collaborate with Financial Aid, Student Accounts, and campus teams to ensure accurate billing and coordination of student benefits
  • Communicate with students regarding benefit status, certification updates, and outstanding documentation
  • Stay current on VA regulations, processes, and training requirements to maintain compliance with SCO standards
  • Safeguard confidential student records and personally identifiable information in accordance with FERPA and institutional data-security policies
  • Provide documentation, data, and follow-up support for departmental compliance initiatives, reporting, and process improvements
  • Perform other duties as assigned

Qualifications

  • Education:
    • High School Diploma or GED, or equivalent on-the-job experience, required
    • Bachelor’s degree in business, education, public administration, or a related field preferred
  • Experience:
    • Minimum of one year of experience administering VA education benefits required; two or more years preferred
    • Experience working with VA Enrollment Manager required
    • Experience with Anthology Student/Web Client or a similar student information system preferred
    • Familiarity with Title 38 requirements, Risk-Based Surveys, and VA compliance survey processes preferred
  • Knowledge & Skill Set:
    • Working knowledge of VA education benefit programs, including:
      • Post-9/11 GI Bill (Chapter 33)
      • Montgomery GI Bill (Chapters 30 and 1606)
      • Veteran Readiness and Employment (Chapter 31)
      • Survivors’ and Dependents’ Educational Assistance (Chapter 35)
      • Yellow Ribbon Program
    • Strong attention to detail with an emphasis on data accuracy, documentation, and regulatory compliance
    • Working knowledge of FERPA and requirements for safeguarding confidential student information
    • Ability to explain complex VA benefit requirements clearly and professionally to students and family members by phone, email, and in person
    • Strong customer-service and escalation-management skills
    • Effective written and verbal communication skills with the ability to collaborate across departments
    • Ability to manage multiple priorities while meeting strict certification and reporting deadlines
    • Strong organizational, analytical, and problem-solving skills
    • Proficiency with Microsoft Excel, Word, and Outlook, including the use of spreadsheets for reconciliation and reporting
    • Ability to work independently while contributing effectively within a centralized team environment
