BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
WFP have already successfully implemented an OBT (Cytric) and launched a pilot (POC) training a small group of seventy Travel Focal Points within HQ. This has allowed TFP to review and select travel itineraries within WFP travel policies which are suitable for their travellers needs and issue related tickets.
Having successfully completed the pilot phase, a roll out is required with the roll out of Travel Management Company to Regional offices and Country Offices.
MSDA is looking for a consultant to support the work of the Travel Unit to continue implementing this OBT and analyzing the integration with Wetravel. Additional support is also required with the Travel Management company (TMC) and support with the TMC operations and airline agreements.
The incumbent will be responsible to work with our Travel Management Company BCD to ensure that the booking system works seamlessly for our travellers and tickets can be issued against the booking requests. Following the RFP and the successful bid of BCD ESC, the incumbent will be responsible for supporting TMC operations and the roll out of the global TMC and OBT roll out and training and support all booking processes globally.
The incumbent will be cooperating with the Travel Unit and the TMC and other workgroup streams on the set up of the OBT and the payment systems through the Lodge card and to ensure all information and deliverables are provided on time and escalate any issues.
He/she will also be required to deliver a functioning OBT to HQ staff and global staff and then later integrate with our corporate travel request system WeTravel.
This position reports to the Travel Manager, and ultimately to the Chief of Shared Services and Business Development Branch.
ACCOUNTABILITIES/RESPONSIBILITIES:
Specifically, the consultant will have the following responsibilities:
1. Work with the WFP TMC BCD on how the bookings will be managed and provide a process map.
2. Provide guidelines/training materials on the use of the OBT and keep updated for any changes.
3. Roll out the TMC and related OBT and lodge card to all GHQ and COs.
4. Responsible for all communication for the project duration with stakeholders involved in the project and final communication to WFP staff.
5. Deal with external provider in order to put in place additional functionalities within the tool
6. Liaise with the WeTravel team for the integration of the OBT with WeTravel.
7. Liaise with the WFP TMC team to support all bookings and OBT bookings under new TMC contract.
8. Operational management of the TMC contract and management of all airline agreements with TMC and airlines.
9. Implementation of the new TMC contract and project management for the roll out of the contract.
10. Ensure all TMC KPIs and SLAs are adhered to.
11. Provide training to WFP staff on the use of the tool
12. Any other relevant duties as assigned.
DELIVERABLES AT THE END OF THE CONTRACT:
• Implementation work plan, key deliverables and timelines for OBT full roll out for WFP.
• Communication and guidelines for users of OBT.
• Close OBT Pilot test
• Ensure correct configuration of OBT for WFP.
• Look and not book for all WFP travellers
• Implementation work plan, key deliverables and timelines for the integration with WFP Corporate Travel system WeTravel
• OBT implementation report and presentation for Travel
• OBT and TMC implementation for all WFP offices
• OBT implementation with TMC and all GHQ offices and selected COs
• OBT integration with the WeTravel system
• Launch of new TMC contract at HQ
• Project management of TMC contract
• Operational management of TMC contract
• Roll out of TMC contract to all WFP offices
The appointed Consultant will work closely with the Travel Project Manager be responsible and also report to the Chief, MSDA.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education:
• Advanced university degree in Business Administration Management, or any other relevant field. In alternative, a First University degree with additional years of related work experience or training /courses.
Experience:
• 5 years minimum in the Travel Related Industry.
• Experience in workflow for travel.
• Experience in change management / transformation projects.
Knowledge & Skills:
• Extensive knowledge of GDS systems
• Extensive proficiency in MS Office (Word, Excel, Power Point, Outlook).
• Experience with LMS front-end tools (e.g. WeLearn, Crossknowledge).
• Knowledge about WFP corporate collaborative tools such as Microsoft Teams.
