The Compliance Coordinator supports the Fixed Asset Compliance program by coordinating asset records, compliance documentation, evidence collection, tracker updates, and follow-up activities. This role helps maintain accurate records, supports timely completion of compliance tasks, and works with Operations, Network & Fleet, vendors, and internal stakeholders to organize documentation and keep fixed asset compliance information current. 

 

What you’ll do:

  • Maintain fixed asset records, compliance trackers, evidence logs, and supporting documentation for assigned asset programs.
  • Collect, organize, rename, file, and validate required compliance evidence such as certificates, inspection records, work orders, photos, vendor documents, and region/area/district-provided updates
  • Enter and update asset, location, status, due date, and completion information in approved systems, spreadsheets, SharePoint libraries, or other designated repositories.
  • Monitor assigned tracker items for missing information, upcoming deadlines, overdue tasks, and incomplete supporting documentation.
  • Follow up with branch teams, area contacts, vendors, and internal stakeholders to obtain missing records, clarify status, and support timely closure of action items.
  • Prepare basic status updates, exception lists, and documentation summaries for review by the Compliance Analyst, Manager, Fixed Asset Compliance, or other business partners.
  • Support process standardization by following approved SOPs, naming conventions, evidence storage practices, and data governance expectations.
  • Assist with audit, regulatory, or management review preparation by locating records, organizing files, and confirming documentation completeness.
  • Perform other related duties as assigned.

What you bring:

  • High School Diploma or Equivalent required. Associate degree, business/administrative coursework, technical certification, or equivalent experience in operations, compliance support, asset administration, records management, or related field preferred.

 

  • Minimum of 3-5 years of experience in operations support, compliance documentation, records management, asset tracking, vendor coordination, or a related support function. Experience using Microsoft Excel, Outlook, Teams, SharePoint, and structured trackers or business systems is preferred.

 

  • Working knowledge of document control, tracker maintenance, data entry accuracy, evidence collection, and follow-up practices.
  • Ability to organize records, identify missing information, update status fields, and maintain consistent naming and filing standards.
  • Proficiency with Microsoft 365 tools including Excel, Outlook, Teams, and SharePoint; ability to learn business systems used for asset and compliance tracking.
  • Intermediate understanding of fixed asset records, inspection documentation, operational deadlines, and compliance support processes; propane, field operations, or equipment administration experience is an asset.
  • Legal Authorization to work in the US is required. We will not sponsor individuals for employment visas now or in the future for this job opening.

 

The hourly rate for this position is $24.00 to $30.00 per hour.
