We are committed to maintaining the highest standards of regulatory compliance and the Compliance Administrator position is key to our team to meet this requirement.
Position Summary:
The Compliance Administrator will ensure all our operations comply with regulatory and contract standards, including:
-Required Company Licenses
-Required Employee Licenses
-Completion of FBI Background Checks
-Completion of CBI Background Check
-Completion of DEN Badging
-New Company Certifications and Renewal Certifications
Review of Employee Concentra physical information
-Completion of I9/E Verify documentation
-Support Response to RFPs
-Support review of client contracts and ensure compliance
-Development and maintenance of Company Insurance Policies Renewal in August
-Assist where needed in identifying key vendors in the execution of our compliance duties – such as Insurance Brokers, Agents, etc.
-Assist as needed in the review of internal documents such as the employee handbook.
This role involves monitoring and managing regulatory risks, maintaining compliance documentation, and leading training sessions to keep our team informed of regulatory changes as applicable. The position requires strong leadership skills and a deep understanding of the regulatory environment within the security industry.
Key Responsibilities:
Regulatory Compliance:
- Ensure compliance with all external regulatory and legal requirements as well as internal policies.
- Develop, implement, and maintain policies, standards, and procedures to comply with applicable regulations.
- Conduct regular internal audits to ensure ongoing compliance and manage regulatory risk.
- Act as the liaison between the company and regulatory bodies, handling inspections, audits, and other regulatory interactions.
- Maintain open communication with relevant decision-makers and stakeholders about regulatory changes.
Risk Management:
- Identify and manage regulatory risks in collaboration with management and staff.
- Develop contingency plans to handle potential compliance breaches.
- Conduct root cause analysis of compliance incidents and implement corrective actions to prevent recurrence.
Training and Development:
- Organize and conduct regular training sessions to communicate key regulatory changes and updates to employees.
- Provide guidance and support on regulatory matters to ensure employees understand and adhere to compliance requirements.
Documentation and Reporting:
- Support in the preparation and manage regulatory documentation such as Safety summaries ( AIA)
- Maintain detailed documentation of compliance activities, including audits, risk assessments, and training sessions.
- Prepare and submit compliance reports to senior management and regulatory bodies as required.
- Keep abreast of regulatory developments and update company policies accordingly.
Leadership:
- Lead the compliance efforts, fostering a culture of compliance and continuous improvement.
- Work effectively with other departments to ensure regulatory compliance throughout product development and commercialization.
- Communicate with regulatory authorities, industry associations, and other stakeholders regarding compliance issues and regulatory updates.
- Promote ethical behavior and decision-making across the organization.

Education Requirements:
Bachelor’s Degree: Minimum requirement in Law, Business Administration, or a related field.
Certifications: Relevant certifications such as Certified Regulatory Compliance Manager (CRCM), Certified Compliance and Ethics Professional (CCEP), ISO 13485 Lead Auditor Certification, and Certified Regulatory Affairs Professional (RAPS).
Qualifications:
Minimum of 5 years of experience in regulatory compliance, preferably within the fragrance, cosmetics, or a related industry.
Proven record in managing compliance programs and leading audits
Experience in dealing with regulatory bodies and understanding of the regulatory environment specific to the fragrance industry.
Strong analytical skills and attention to detail.
