The Role

Business Operations is the team that makes the rest of the Firm work. We build the processes other departments follow, administer the platforms they work in, audit whether our standards are actually being met, and produce the data leadership uses to make decisions. When something is broken, undefined, or nobody's job yet, it becomes ours.

Your job is to take operational problems and turn them into working solutions. That means building and documenting processes, configuring and troubleshooting the systems the Firm runs on, auditing work against our standards, compiling and validating reports, and supporting the administrative operations that keep everything moving.

Your assignments will change as the Firm's priorities change, and there is no fixed weekly checklist. A real portion of your week will be work nobody planned for: a platform that stopped working, a process that broke in production, a new hire who needs access today. You are expected to absorb that without letting your scheduled projects slip, and to flag it early when the volume is genuinely unmanageable.

You will also be expected to become the person others come to for answers. That takes time, but it starts with taking full ownership of the systems and processes assigned to you rather than waiting to be told what to check.

Some responsibilities will be yours from the start. Others will be transferred to you as you demonstrate you can carry them. If you are looking for a role where your responsibilities will grow, this is that role.

You must be flexible. The nature of your tasks will change week to week, and policies and procedures change frequently, as we're a fast-growing company and we're constantly experimenting to improve how we deliver our services.

You must speak Spanish and English fluently and be comfortable using both languages professionally.

This role is open to candidates located in Argentina.

What You'll Do

Your day-to-day responsibilities will vary based on the Firm’s needs, but will include a combination of the following:

Process Design and Documentation

  • Review assigned workflows for errors, gaps, duplicated steps, and inefficiencies, then propose practical fixes
  • Build new processes from scratch when none exists, including the decision rules and the exceptions
  • Write and maintain standard operating procedures, checklists, instructions, and process guides
  • Record screen captures and short training videos so someone who has never run the process can follow it start to finish
  • Test every change before it goes live, and confirm it works once it is live

Systems Administration and Support

  • Administer and configure assigned firm platforms, which may include Asana, ActiveCampaign, HubSpot, Google Workspace, Zapier, Make, and the Firm's appointment scheduling, credential management, and time tracking tools
  • Build, maintain, and troubleshoot automations, templates, task routing, and email sequences
  • Serve as a point of contact for staff questions about systems, access, and workflow behavior; resolve what you can and escalate what you cannot
  • Work directly with software vendors and support teams to resolve account and platform problems, and push open issues until they close
  • Provision and adjust user access, and maintain system continuity when employees join, change roles, or leave

Quality Assurance and Auditing

  • Conduct assigned operational audits and score work against the applicable standard
  • Determine whether the correct procedure was followed and whether the work was documented properly
  • Identify recurring errors and patterns, and recommend retraining, process changes, form changes, or automation
  • Report findings clearly to your team leader and to the teams affected

Reporting and Data

  • Compile, clean, normalize, and validate operational data from multiple systems
  • Produce assigned operational reports covering areas such as volume, processing time, workload, quality, and capacity
  • Review data for duplicates, inconsistent naming, and missing information before you deliver anything
  • Verify accuracy yourself, because leadership will make decisions based on what you hand them

Training and Onboarding Support

  • Administer the systems and access portions of new-hire onboarding
  • Prepare onboarding projects, credentials, and role-specific materials
  • Train employees on systems, workflows, and procedures, and deliver refresher training when audits show it is needed
  • Support handoffs when responsibilities move between employees

Cross-Departmental Coordination

  • Coordinate with Legal, Finance, Setup, Correspondence, Reception, and other teams on shared processes
  • Communicate operational changes to everyone affected, including what changed, why it changed, who it affects, and what they must do
  • Support operational rollouts, office-specific procedures, and special projects
  • Contribute to hiring for operational roles by reviewing and scoring candidate assessments when asked

Requirements

Who You Are

We're looking for professionals who combine technical competence with genuine passion for our mission. The ideal candidate brings:

  • Committed to the Firm's mission of helping immigrants secure their future in the United States through asylum
  • Fluent Spanish and English, written and spoken, at a professional level
  • Advanced Excel and Google Sheets, including pivot tables, lookups, conditional logic, and cleaning large or messy data sets
  • Demonstrated experience building recurring reports from raw data rather than filling in a template someone else built, and validating your own numbers before anyone else sees them
  • Hands-on experience administering a CRM or marketing automation platform, including building automations, email sequences, tags, triggers, and templates. We use ActiveCampaign and HubSpot; direct experience with either is strongly preferred, and experience administering a comparable platform is acceptable
  • Hands-on experience building automations in at least one automation or no-code platform, including testing them and troubleshooting them when they fail. We use Zapier, Make, Google Apps Script, and Claude Cowork; direct experience with any of these is strongly preferred
  • Experience working in a task or project-management platform; we use Asana
  • Demonstrated experience writing standard operating procedures or work instructions that someone else can follow without asking questions
  • Experience building training material and training other employees, including written guides and screen recordings
  • Exceptional attention to detail, particularly when reviewing data or auditing other people's work
  • Able to manage competing priorities and urgent interruptions without losing track of longer projects
  • Excellent judgment with confidential client, legal, financial, and employee information
  • Comfortable working on problems that have no defined process and no obvious person to ask
  • Able to work effectively across departments without relying on formal authority
  • Organized and able to perform at a high level with minimal supervision
  • Versatile, with no interest in defining your role narrowly; if it needs doing and you can learn to do it, you do it

This position offers a monthly salary range of USD 2,000 gross, commensurate with experience and qualifications.
