Billing & Bookkeeping Specialist (Construction)

We are looking for an experienced Construction Billing & Bookkeeping Specialist to join a growing business and take ownership of billing, accounts receivable, and bookkeeping support. This is an ideal opportunity for someone with a strong understanding of construction billing processes, particularly AIA billing (Forms 702 and 703), progress billing, and change orders. You’ll work closely with customers and internal teams, so strong communication skills and a professional, relationship-focused approach are essential. The role will initially be 20 hours per week, with the potential to increase to full-time as the business grows and the successful candidate demonstrates their capabilities.

Key Responsibilities
● Prepare and manage AIA billing, including Forms 702 and 703
● Handle construction progress billing and ensure invoices are accurate and submitted on time
● Process and track change orders
● Manage accounts receivable and monitor outstanding balances
● Follow up with customers regarding outstanding invoices and payments
● Maintain accurate financial records and documentation
● Support bookkeeping activities using QuickBooks Online (QBO)
● Update and manage customer and project information within Salesforce
● Reconcile billing information and identify discrepancies
● Work closely with customers to resolve billing queries professionally
● Assist with maintaining efficient billing and accounting processes
● Provide general administrative support related to billing and bookkeeping as required
