Position Overview

We are seeking a Billing & Dispatch Coordinator to support field operations by managing technician scheduling and ensuring timely, accurate billing. This role is critical to optimizing technician utilization, maintaining strong customer communication, and driving fast, clean revenue capture.

The ideal candidate has experience in both dispatching and billing within a field service environment, thrives in a fast-paced setting, and can balance speed with a high level of accuracy.

Key Responsibilities

Dispatching & Scheduling

• Schedule and coordinate startup, commissioning, and warranty service work for a growing team of 85+ field technicians
• Utilize Microsoft Dynamics 365 Field Service to assign and manage field resources
• Provide same-day updates to scheduling as priorities shift
• Optimize technician utilization, availability, and job coverage across multiple projects
• Communicate clearly with technicians and internal teams to ensure alignment on schedules and expectations

Billing & Revenue Support

• Prepare and validate billing data for both time & material and milestone-based projects
• Review technician timecards to ensure accuracy of labor, travel, and job coding
• Ensure all jobs are properly documented and ready for invoicing within 24–48 hours of completion
• Partner with finance to support accurate and timely invoice generation (~24 invoices/week)
• Identify and resolve discrepancies that could delay billing or impact revenue

Operational Coordination

• Maintain accurate records across systems including Microsoft Dynamics, Excel, and Teams
• Support customer communication related to scheduling and job status updates
• Assist in improving processes related to dispatch efficiency and billing accuracy
• Potential cross-training with travel coordination functions as the team evolves

Qualifications

• 3–7+ years of experience in dispatching and/or billing within a field service environment
• Strong experience using Microsoft Dynamics 365 Field Service (preferred) or similar systems
• Proven ability to manage high-volume scheduling and billing workflows
• Experience reviewing technician timecards and validating job data
• Strong proficiency in Microsoft Excel and communication tools like Teams
• Excellent organizational skills and attention to detail
• Ability to prioritize and execute in a fast-paced, constantly changing environment
• Strong communication skills with both field personnel and internal stakeholders

Work Schedule & Expectations

• Standard business hours (8:00 AM – 5:00 PM)
• Must be responsive to same-day scheduling needs and updates
• Remote role with high accountability and ownership
