Position Overview

We are seeking an experienced Personal Injury Case Manager to support a California-based law firm. This is a hands-on case management role, not a general administrative assistant position. The ideal candidate will have at least 2 years of direct Case Manager experience supporting a California personal injury law firm and be comfortable managing cases from the medical and insurance coordination side through ongoing treatment.

The candidate should be highly organized, proactive, detail-oriented, and experienced in communicating with clients, medical providers, insurance companies, and other parties involved in personal injury claims.

Key Responsibilities

  • Manage personal injury cases and coordinate case-related activities from intake through ongoing treatment.
  • Retrieve and organize medical records and documentation.
  • Open and manage insurance claims.
  • Coordinate medical treatment and appointments for personal injury clients.
  • Open and manage medical liens with healthcare providers.
  • Follow up with medical providers regarding treatment, records, bills, and documentation.
  • Handle and coordinate property damage claims.
  • Communicate with clients regarding treatment, appointments, claims, and case-related updates.
  • Communicate with insurance companies, medical providers, and other parties as needed.
  • Maintain accurate and up-to-date case documentation and records.
  • Track case progress, outstanding items, and required follow-ups.
  • Ensure timely follow-up on medical treatment, records, liens, and property damage matters.
  • Work independently and take ownership of assigned cases and tasks.

Ideal Candidate

The ideal candidate is an experienced Personal Injury Case Manager, not an entry-level legal VA or general administrative assistant. They should already understand the day-to-day workflow of a PI case and be able to independently manage medical treatment coordination, records, claims, liens, and property damage while maintaining consistent communication with clients and providers.

  • Case Management: Filevine preferred
  • Other tools: To be confirmed during the interview

Top 3 Daily Tasks

  1. Coordinate medical treatment and follow up with providers and clients.
  2. Open and manage medical liens and related documentation.
  3. Handle property damage and insurance claim matters while tracking case progress.

Requirements

Required Qualifications

  • Minimum 2 years of experience working specifically as a Personal Injury Case Manager.
  • Minimum 2 years supporting a California-based personal injury law firm in a similar Case Manager capacity.
  • Strong understanding of personal injury case management processes.
  • Hands-on experience with:
    • Medical records retrieval
    • Opening insurance claims
    • Medical treatment coordination
    • Medical liens
    • Property damage claims
  • Strong written and verbal English communication skills.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple cases, deadlines, and follow-ups simultaneously.
  • Comfortable communicating directly with clients, medical providers, and insurance companies.
  • Bilingual English/Spanish preferred, but strong English-only candidates will also be considered.

Preferred Qualifications

  • Experience using Filevine.
  • Previous experience managing California personal injury cases.
  • Experience coordinating treatment and medical providers for PI clients.
  • Familiarity with medical lien processes and property damage claims.
  • Experience working remotely with a U.S.-based law firm.

Benefits

Full-Time | 40 hours per week | Remote - Monday–Friday, 8:00 AM–5:00 PM PST

The hourly rate will be determined based on the candidate’s experience, background, and level of expertise.
