With a highly consultative approach and an established reputation in the industry, the client is focused on delivering exceptional service while expanding its outreach and appointment pipeline through strategic lead management and automation.

 

About the Role:

The Lead Management & Appointment Setting Specialist will be responsible for managing and nurturing the company's CRM database, executing outreach campaigns, qualifying prospects, and scheduling appointments for the advisor. This role combines CRM administration, marketing automation, sales support, and customer follow up to maximize engagement with existing and new leads. The ideal candidate is highly proactive, comfortable taking ownership of processes, and capable of leveraging GoHighLevel and AI tools to continuously improve campaign performance and appointment generation.

 

Key Responsibilities

CRM & Lead Management

  • Manage and organize leads within GoHighLevel.
  • Reactivate existing leads through strategic outreach initiatives.
  • Maintain accurate records and update prospect information.
  • Track lead progression throughout the sales funnel.

Campaign Development & Automation

  • Build and manage email and SMS campaigns using GoHighLevel.
  • Create automated workflows to engage prospects consistently.
  • Adapt messaging based on market trends and economic conditions.
  • Utilize AI tools to develop compelling campaign content and hooks.

Appointment Setting & Qualification

  • Contact prospects through calls, emails, and text messages.
  • Qualify leads based on established criteria.
  • Schedule consultations and follow up appointments with the advisor.
  • Work toward achieving weekly appointment generation goals.

Client Follow Up

  • Follow up with prospects after consultations.
  • Confirm receipt of educational materials and packages.
  • Answer basic questions and escalate complex inquiries when needed.
  • Maintain ongoing communication to increase conversion opportunities.

Performance & Process Ownership

  • Monitor campaign effectiveness and suggest improvements.
  • Take initiative in optimizing workflows and outreach strategies.
  • Identify opportunities to improve engagement and appointment rates.
  • Execute responsibilities independently while maintaining accountability for results.

Qualifications & Skills

Must

  • Previous experience using GoHighLevel for CRM management and campaign creation.
  • Experience in appointment setting, lead qualification, or sales support.
  • Strong verbal and written English communication skills.
  • Experience creating email and SMS automation campaigns.
  • Ability to manage multiple follow ups and maintain organized records.
  • Comfortable making outbound calls and interacting with clients professionally.
  • Strong understanding of sales processes and customer engagement.
  • Ability to work independently with minimal supervision.
  • Availability to work Monday through Thursday from 9:00 AM to 5:00 PM Eastern Time.

Preferred

  • Experience in financial services, insurance, retirement planning, or related industries.
  • Familiarity with AI tools such as ChatGPT or Claude for content generation and productivity.
  • Experience analyzing market trends to develop targeted messaging.
  • Background working with CRM based marketing automation.
  • Experience handling sensitive customer information with confidentiality and professionalism.
