Appointment Setter / Data Entry VA
Role Overview:
We are seeking a reliable and detail-oriented Virtual
Assistant to support our growing beauty business by managing appointment
bookings, client follow-ups, and administrative data entry tasks. This role is
ideal for someone who is proactive, organized, and comfortable communicating
with clients through social media messaging platforms.
The primary focus of this position is converting existing
social media leads into booked appointments while maintaining accurate business
records.
Scope of Work:
Appointment Setting & Client Follow-up
- Monitor
and manage incoming leads from Facebook, Instagram, and TikTok.
- Follow
up with existing leads who have previously interacted with the business.
- Turn
off the chatbot when manually following up with clients.
- Respond
to basic client inquiries via chat.
- Book
appointments and update clients as needed.
- Follow
provided SOPs and training materials for client communication.
- Target
booking at least 2–3 booked clients per month.
- Performance
bonuses may be available for exceeding booking targets.
Data Entry & Administrative Support
- Review
appointments from Google Calendar and transfer appointment details into
Google Sheets.
- Update
and maintain the business data tracker accurately.
- Organize
treatment information by referencing Google Photos and recording the
corresponding brow method or service performed.
- Assist
with backlogged data entry and ongoing record maintenance.
Future Responsibilities (As Needed)
- Assist
with posting content on Instagram and other social media platforms.
Qualifications
- Previous
experience as a Virtual Assistant, Appointment Setter, Customer Support
Representative, or Administrative Assistant preferred.
- Strong
written English communication skills.
- Comfortable
communicating with clients through chat and social media messaging.
- Excellent
attention to detail and organizational skills.
- Ability
to work independently and follow established SOPs.
- Reliable,
proactive, and able to manage repetitive administrative tasks efficiently.
- Basic
customer service skills with a friendly and professional approach.
Performance Expectations:
- Maintain
timely follow-up with social media leads.
- Ensure
accurate and organized data entry.
- Achieve
a minimum target of one booked client per month, with a preferred goal of
two to three bookings monthly.
- Provide
professional and responsive communication with prospective clients.

Shifts & Hours
- Starting
with a minimum of 10 hours per week; semi-flexible shift
- Work
during the client's business hours and time zone to effectively
communicate with customers.
- Additional
hours may be offered as business needs grow.
