AI Implementation Specialist

This role is open to candidates based in LATAM, Africa, and Eastern Europe. Please note that as this role supports U.S.-based clients, candidates must be available to work during U.S. business hours aligned with the client’s time zone.

Role Overview

The AI Implementation Specialist will be responsible for auditing business processes, streamlining workflows, and implementing AI-driven automation systems across multiple departments. The AI Implementation Specialist will work closely with finance, operations, and technology stakeholders to evaluate existing software functionality, identify automation opportunities, and deploy AI-powered solutions that improve efficiency, accuracy, and scalability. This role requires a combination of technical expertise, process optimization experience, and the ability to design secure, reliable systems that support critical business operations.

Key Responsibilities

Business Process Audit & Optimization

• Audit current workflows for order processing, financial management, and operational activities.

• Analyze existing software functionality to identify bottlenecks, redundancies, and automation opportunities.

• Evaluate accounting processes and recommend AI-enhanced solutions to improve efficiency and accuracy.

• Identify opportunities to streamline workflows and improve operational scalability.
  

AI Automation & Implementation

• Build and deploy AI agents using ChatGPT, Claude, and related AI technologies.

• Automate accounting workflows within QuickBooks, including invoice scanning, filing, and processing activities.

• Create secure automated systems for order processing, data retrieval, organization, and storage.

• Replicate, redesign, or enhance existing systems to improve operational efficiency and scalability.

• Implement AI-powered solutions that automate repetitive and business-critical tasks.
  

Data Management & Security

• Organize, process, and securely store financial and operational data.

• Ensure compliance with data protection and privacy standards.

• Maintain high levels of data accuracy, integrity, and reliability across automated workflows.

• Support secure access and management of business-critical information.
  

Cross-Functional Collaboration

• Partner closely with finance, operations, and IT teams to implement automation solutions.

• Provide training and documentation to support adoption of AI-driven workflows.

• Communicate implementation progress, results, and recommendations to leadership.

• Support teams in effectively utilizing newly deployed AI systems and processes.
  

Continuous Improvement

• Stay informed on emerging AI technologies and automation capabilities.

• Recommend tools, systems, and process improvements that enhance operational efficiency.

• Monitor AI systems to ensure accuracy, reliability, and ongoing performance.

• Continuously evaluate automation opportunities across business functions.
  

Qualifications Experience

• 3+ years of experience implementing AI solutions within business operations.

• Expert-level experience working with ChatGPT, Claude, and AI-powered workflow automation.

• Experience developing and deploying AI agents and automation systems.

• Experience automating accounting and financial workflows.

• Experience working with QuickBooks and accounting-related processes is strongly preferred.

• Experience with order processing systems and operational software.

• Experience integrating AI solutions with existing business platforms and systems.

• Experience providing training, documentation, and implementation support for business users.
