Job Description: Administrative Virtual Assistant

Role: Administrative Support

Type: Remote / Virtual

Focus: Operations & Systems Support

10 hours per week

 

Core Responsibilities

Reporting & Data Management

  • Execute regular reports from internal software systems.
  • Extract, organize, and format data into Excel or Google Sheets for clarity.
  • Build and maintain structured tracking sheets to monitor key performance indicators.
  • Compile data summaries and briefs for leadership review.
  • Maintain a high standard of accuracy in all digital documentation.

System & Process Support

  • Configure and manage software notifications and alerts to ensure timely responses.
  • Monitor internal dashboards and proactively report any irregularities or data gaps.
  • Assist in the creation and maintenance of workflow documentation (SOPs).
  • Maintain and optimize digital filing systems for easy retrieval of information.

Social Media Monitoring (Light Support)

  • Monitor social media platforms for new activity and engagement.
  • Provide first-level responses to inquiries using approved brand templates.
  • Identify and flag high-priority messages for immediate leadership attention.
  • Log engagement inquiries and leads into spreadsheets or the company CRM.

Administrative Assistance

  • Handle general administrative tasks to support daily operations.
  • Ensure organization is maintained across various tools and project management systems.
  • Provide comprehensive weekly updates on tasks, completed projects, and upcoming deadlines.

 

Required Skills & Qualifications

  • Spreadsheet Mastery: Strong proficiency in Excel or Google Sheets (formulas, data organization, and formatting).
  • Detail Obsessed: A natural inclination toward high levels of accuracy and thoroughness.
  • Communication: Excellent written and verbal English communication skills.
  • Tech-Savvy: Comfortable navigating and learning new software systems and cloud-based tools quickly.
  • Process-Driven: Ability to follow complex workflows and suggest improvements for efficiency.
  • Reliability: Highly responsive with a proven track record of meeting deadlines.
