The Administrative Trainer is a member of the Learning Division Administrative team with a division-wide training responsibility. While this role reports to the administrative team, the Administrative Trainer will train and support employees across all teams within the Learning Division, helping team members learn the processes, systems, tools, and workflows required to be successful in their roles.
This role goes beyond simply delivering training. The Administrative Trainer will learn established SOPs, processes, and systems to an expert level, translate them into clear and engaging training experiences, assess whether team members can successfully apply what they have learned, and serve as a critical check and balance for the processes themselves. By regularly following and teaching established SOPs, this role will identify areas where processes are unclear, ineffective, or not working as intended and communicate those issues to the appropriate process owner for review.
The Administrative Trainer will contribute to the Learning Division Training Library by creating and maintaining engaging training materials, process guides, instructional resources, and videos that support onboarding, ongoing development, and consistent execution across the division.
During periods of lower hiring volume or reduced training demand, the Administrative Trainer will support the Learning Division by completing administrative responsibilities and recurring operational tasks.
The ideal candidate is highly organized, exceptionally comfortable with technology, patient, personable, and energized by helping others learn. They are able to master complex processes, communicate them clearly to different audiences, and recognize when a training issue may actually be a process or documentation issue.
Learn established administrative and Learning Division SOPs, systems, and workflows to an expert level and develop the ability to teach them accurately and confidently to employees across the Learning Division.
Deliver training for administrative processes, tools, systems, and workflows to new and existing team members across Learning Division teams. Provide additional coaching and reinforcement when team members need support.
Develop and implement clear, effective training protocols that translate established SOPs and operational requirements into practical learning experiences.
Break complex processes into understandable steps and adapt training approaches to different levels of experience, learning needs, and familiarity with technology.
Assess learner understanding and provide opportunities for team members to practice and demonstrate proficiency.
Contribute to the Learning Division Training Library by creating, updating, and organizing training materials, process guides, instructional resources, and training videos.
Ensure training materials are accurate, easy to understand, visually clear, and aligned with current SOPs and processes.
Identify gaps or outdated materials and communicate recommended updates to the appropriate team member or process owner.
Serve as a check and balance for established SOPs by regularly following and teaching documented processes.
Identify processes that are unclear, inefficient, difficult to execute, or producing unexpected results. Document and communicate these issues to the appropriate process owner for review and potential revision.
Validate revised SOPs by applying them in practice and providing feedback on whether changes successfully resolve identified issues.
Assess whether employees understand and can independently execute the processes they have been trained on.
Identify knowledge gaps, recurring mistakes, and areas where additional training or clarification may be needed.
Use observations, learner feedback, and performance patterns to recommend improvements to training materials and protocols.
Develop strong working proficiency in the software platforms required by the Learning Division and teach team members how to use them effectively.
Primary tools include Google Workspace, with additional platforms including Notion, HubSpot, Linear, Vector, the OpenEd Platform, and Metabase.
Use AI tools such as ChatGPT and Claude to support research, organization, drafting, problem-solving, and administrative efficiency while exercising appropriate judgment and reviewing AI-generated outputs for accuracy.
SQL knowledge and video editing skills preferred.
During periods of lower hiring volume or reduced training demand, complete administrative tasks and recurring operational responsibilities across the Learning Division.
Apply the same standards of accuracy, timeliness, and process adherence expected of administrative team members.
Success in this role will be measured by:
Timely and effective onboarding and training of new Learning Division team members.
Demonstrated ability of trained employees to independently and accurately execute established processes.
Accuracy and consistency of training content with current SOPs and operational requirements.
Meaningful contributions to a comprehensive, organized, and engaging Learning Division Training Library.
Production of high-quality training materials, instructional guides, and videos for key Learning Division processes.
Timely identification and escalation of SOP issues, inconsistencies, and process failures.
Successful validation of revised SOPs and confirmation that identified issues have been resolved.
Positive feedback from trainees, managers, and process owners regarding training effectiveness and clarity.
Accurate and timely completion of administrative responsibilities during periods of lower training demand.
An exceptionally strong communicator who can explain complex information clearly and patiently.
Highly personable with strong interpersonal skills and the ability to build trust with learners.
A natural teacher who genuinely enjoys helping other people understand and master new concepts.
Extremely comfortable with technology and able to learn new software platforms quickly.
Highly proficient in Google Workspace, including Google Drive, Docs, Sheets, Slides, Calendar, and related tools.
Experienced with Notion preferred.
Comfortable learning and becoming proficient in software platforms such as HubSpot, Linear, Vector, the OpenEd Platform, and Metabase.
Comfortable using AI tools such as ChatGPT and Claude to improve productivity, research information, organize work, and develop materials.
SQL knowledge is a plus.
Highly organized and exceptionally detail-oriented.
Able to learn and follow SOPs precisely enough to become an expert in the underlying process.
Patient and adaptable when working with people who have different levels of experience or learning needs.
Skilled at recognizing when someone is struggling with a process and determining whether the issue is knowledge, execution, or unclear documentation.
Comfortable providing constructive feedback and raising concerns when an established process is not working as intended.
Self-directed and capable of managing multiple training, administrative, and operational priorities.
Someone who takes ownership of their work and follows through on commitments.
Curious and willing to continuously learn new tools, systems, processes, and subject matter.
Able to balance adherence to established processes with good judgment when something does not work as expected.
