About the Role:

As a vital and dynamic part of our US School Success team, you'll play a critical role in ensuring exceptional service and undisrupted student learning for our school partners and educators. You'll be the first line of defence for urgent morning-of requests and educator absence backfills, bringing strategic thinking and consistent energy to every challenge. Your efforts will focus on building strong relationships, actively identifying and securing more opportunities for Zen to fill, directly impacting crucial classroom coverage.

This is a fast-paced, high-volume position demanding a blend of urgency, relationship-building, and proactive problem-solving to meet the evolving needs of both schools and educators. As Zen embarks on an exciting phase of rapid expansion, you will also need to think big-picture, using data and territory insights to drive strategic growth and spark meaningful operational change.


What You'll Be Doing

Morning Request & Absence Management

  • Serve as the primary point of contact for urgent morning-of requests and backfilling absences, actively working to find coverage and managing the process from initial notification to confirmed placement.

 

Relationship Building & Opportunity Identification

Proactively cultivate strong, collaborative relationships across key internal and external stakeholders to drive growth, community retention, and operational excellence:

  • School Partners: Build trusted partnerships to uncover new opportunities and secure additional days and absences for Zen to fill.

  • Our Educators: Connect deeply with our educator community to foster engagement, support retention, and ensure high-quality placements.

  • Internal Zen Teams: Collaborate seamlessly across multiple departments within Zen to share insights, streamline communication, and optimize service delivery.

 

Territory Strategy & Demand Management

  • Lead Weekly/Bi-Weekly Territory Syncs: Hold regular meetings with your supported territories, leveraging data reporting and "boots on the ground" knowledge to lead strategic conversations and implement impactful changes.

  • Balance Supply & Demand: Anticipate upcoming school demand and ensure we maintain the optimal volume of active educators to keep fill rates high and guarantee our school partners feel fully supported.

  • Drive Growth Initiatives: Proactively bring forward innovative ideas and big-picture solutions to optimize operations as the company scales.

 

Account Manager Handoff & Support

  • Each morning, provide Account Managers with updates on all follow-up items needed and accomplishments from the previous day, ensuring a seamless transition and continued growth for the partnership.



Educator Support & Activation

  • Communicate daily with onboarded educators, guiding them into their first long-term or daily subbing role.

  • Engage with educators in active roles to gather feedback, ensure satisfaction, and problem-solve any issues to promote retention or new placements.

  • Provide coaching to educators, focusing on leveraging product features to scale and automate processes.



School Partner Support & Growth

  • Provide responsive, central support for all school partnership stakeholders.

  • Contribute to the management and growth of our US school partnerships by supporting the generation of paraprofessional and teacher roles.

  • Assist in upselling Zen products and services.

  • Report on key trends and feedback from schools, collaborating with our Product team to implement improvements.

  • Own Every Outcome: You'll take full responsibility from the first request to final coverage, whether for a same-day absence or supporting an educator's first week. This means double-checking notes, following through proactively, and ensuring no detail is missed.

  • Move Fast, Think Smart: You'll act with urgency, especially for same-day needs, but always prioritize strategically. This includes favoring top educators, timing communications thoughtfully, and using clear messaging to reduce confusion. You will bring a big-picture mindset to our upcoming growth, leveraging territory reporting to anticipate upcoming demand and confidently proposing new ideas that create positive change.

  • Communicate to Build Trust: You'll maintain clear, timely, and consistent communication to build trust. Keep schools informed, educators supported, and internal teams aligned with every message adding clarity.

  • Deliver with Quality and Care: You'll focus on details, ensuring accurate notes, complete role descriptions, and thoughtful handoffs to avoid rework. Your high-quality execution will prove our reliability to both schools and educators.

  • Empower Educators and School Admins, Elevate the System: You'll help new educators and school admins succeed by promoting platform tools, reducing manual work, and setting clear expectations. Your efforts will activate our users and strengthen Zen's scalability.
