We're looking for a Virtual Property Manager to oversee day-to-day operations across a growing residential real estate portfolio. You will be the operational point of contact for tenants, vendors, and contractors — managing maintenance coordination, rent collection follow-ups, leasing support, move-ins and move-outs, and all the documentation and communication that keeps a multi-property portfolio running cleanly.
This role has a hard language requirement. You must be fully fluent in both English and Spanish, written and spoken. A significant portion of tenant and vendor communication happens in Spanish and there is no workaround for this. If you are highly organized, genuinely bilingual, comfortable handling difficult conversations professionally, and take pride in keeping operations tight across multiple moving parts, this role is a strong fit.

What You'll Work On
Tenant Communication and Support
- Respond to tenant inquiries via phone, text, email, and WhatsApp in both English and Spanish
- Handle difficult tenant conversations professionally and with a solutions-first approach
- Communicate with Section 8 and Housing Authority representatives as needed
- Assist with leasing coordination and tenant screening
Maintenance and Vendor Coordination
- Coordinate maintenance requests and follow up with vendors and contractors through to resolution
- Track open work orders and ensure nothing falls through the cracks
- Help source and manage vendors for repairs and renovations
- Escalate urgent property issues quickly and keep ownership informed
Leasing and Turnover Operations
- Coordinate move-ins, move-outs, inspections, and unit turnovers
- Assist with rent collection and payment follow-ups
- Maintain organized property records, leases, invoices, and tenant documentation
Systems, Reporting, and Automation
- Keep property management software, spreadsheets, and internal systems accurate and up to date
- Support ownership with operational reporting and administrative tasks
- Apply a fundamental understanding of multi-entity accounting including tracking income, expenses, intercompany transactions, and financial activity across multiple LLCs and properties
- Use AI tools and automation platforms to improve efficiency and streamline recurring workflows
What You Bring
- Full professional fluency in both English and Spanish, written and spoken — this is a non-negotiable requirement
- Prior experience in property management, real estate operations, or a closely related role
- Fundamental understanding of multi-entity accounting and tracking financial activity across multiple properties or business entities
- Strong organizational and multitasking skills with the ability to manage multiple open items simultaneously without dropping the ball
- Excellent communication and follow-through across phone, text, email, and messaging platforms
- Comfortable handling difficult tenant conversations professionally and calmly
- Experience coordinating maintenance vendors and contractors
- Tech-savvy with the ability to learn new systems quickly
- Reliable internet connection and a quiet, professional work environment
- Available to work during US Pacific Time business hours
Nice to Have
- Experience with DoorLoop, Buildium, or similar property management software
- Experience working with Section 8 or affordable housing programs
- Experience managing remote vendors or contractors across multiple properties
- Familiarity with Google Workspace, Slack, Notion, Airtable, or ClickUp
- Experience using AI tools such as ChatGPT to improve workflows and reporting
