Position: Virtual Medical Receptionist

Working Hours: US Hours (9am-5pm EST)

Full-Time, Remote Work.

Salary: South African Rand (ZAR)

We are looking for a highly empathetic and patient virtual medical Receptionistto support a mental health clinic. This role is ideal for someone with excellent communication and telephone skills who can make patients feel heard, respected, and supported throughout their interaction with the clinic.

You will be responsible for scheduling appointments, assisting patients over the phone, working within the clinic’s Electronic Medical Records (EMR) system, and handling sensitive conversations with professionalism and compassion.

The successful candidate must be comfortable communicating with people who may be distressed, emotionally vulnerable, or experiencing challenging circumstances, while also providing a high level of patience and understanding to older patients.

Key Responsibilities

  • Answer and manage inbound patient calls in a professional, warm, and empathetic manner.
  • Schedule, reschedule, and confirm patient appointments.
  • Assist patients with questions regarding appointments and clinic processes.
  • Handle conversations with patients who may be distressed, anxious, frustrated, or emotionally vulnerable with patience and sensitivity.
  • Communicate effectively with elderly patients and individuals who may require additional assistance or explanation.
  • Accurately capture and update patient information in the EMR/medical system.
  • Maintain accurate and confidential patient records.
  • Follow clinic procedures and ensure all scheduling information is captured correctly.
  • Escalate sensitive or urgent matters to the appropriate clinical or administrative team member.
  • Complete general administrative duties as required.
  • Use Microsoft Excel and other office systems where required.
  • Maintain a consistently professional and compassionate telephone manner.

Requirements

  • Previous experience in medical reception, healthcare administration, patient scheduling, customer service, call centre, or a similar role.
  • Exceptional telephone and verbal communication skills.
  • Demonstrated ability to communicate with empathy, patience, and emotional intelligence.
  • Comfortable dealing with sensitive, emotional, or vulnerable individuals.
  • Strong computer literacy and the ability to learn and navigate an EMR/medical system.
  • Excellent attention to detail and accuracy.
  • Strong organisational and time-management skills.
  • Professional, calm, and composed under pressure.
  • Excellent spoken English and a clear, professional telephone manner.
