Training Specialist w/ Instructional Design experience

A Training Specialist provides training, onboarding, cross-training, & upskilling for GMVA. Training Specialists demonstrate an understanding of Adult Learning Theories and detailed knowledge of US Healthcare and its nuances. Training specialists evaluate the skills of new and existing ICs and identify where further training is needed.  They are responsible for performing training needs analysis, designing, improving, and delivering curriculum and learning materials, and managing all phases of training interventions in alliance with the company’s core values while maintaining HIPAA Compliance.

TASKS:

• Training delivery, facilitation, classroom management, and trainee engagement
• Onboarding and offboarding of Virtual Assistants
• Cross-training, upskilling, and supporting mentoring initiatives for Virtual Assistants
• Performance management, including skills assessment, coaching sessions, feedback, and improvement plans
• Training Needs Analysis to identify skill and knowledge gaps
• Creating, updating, and improving training materials, courses, assessments, and learning activities
• Reinforcing company policies, procedures, HIPAA compliance, and best practices
• Monitoring and evaluating trainee performance, attendance, progress, and overall training outcomes
• Facilitating Academy and Master Class activities, including communication sessions, Client Interview (CI) Drills, HIPAA refreshers, and other learning interventions
• Interdepartmental communication and collaboration to identify training needs and support VA development
• Administrative tasks and Learning Management System (LMS) management
• Maintaining and updating training records, course enrollments, trainee profiles, and performance trackers
• Continuously reviewing training effectiveness and recommending improvements based on trainee, client, and performance data
• Updating placement profiles upon VA placement

Requirements

QUALIFICATIONS:

• Must have at least 1 year of experience in Instructional Design
• Excellent English communication skills; both oral and written
• Strong understanding of US Healthcare and its nuances
• Working knowledge of Adult Learning Theories and training principles
• Strong interpersonal, observation, coaching, and presentation skills
• Highly organized, detail-oriented, and able to effectively multitask
• Able to quickly adapt to changing policies, processes, and training requirements
• Experience in onboarding, mentoring, or training other Virtual Assistants is preferred
• Experience in creating presentations, training materials, or process documentation is a plus
• Proficiency in Google Workspace, Microsoft Office, Canva, Zoom, and Learning Management Systems is a plus
• Strong understanding of HIPAA compliance and the ability to incorporate HIPAA requirements into training and processes
• Must have stable systems, internet connection, and reliable backups
• Preferred training work experience: 2 years as a Trainer, Training Specialist, Mentor, or similar role
