Essential Responsibilities and Duties

Team Leadership & Employee Development

  • Lead, coach, mentor, and develop Legal Assistants, Evidence

  • Conduct regular one-on-one meetings with team members.

  • Provide performance coaching and feedback.

  • Identify development opportunities and training needs.

  • Foster a culture of accountability, teamwork, and continuous improvement.

  • Support onboarding and training of new employees.

  • Assist with corrective action plans and performance improvement initiatives.

  • Monitor team morale, engagement, and overall effectiveness.

  • Conduct regular case audits and provide timely, actionable feedback to team members to ensure compliance with quality and case management standards.

  • Review feedback issued by CR and Attorneys, communicate it effectively to the team, and ensure corrective actions and coaching are implemented as needed.

Case Assignment, Workflow Oversight & Team Operations Management

Attorney Case Assignment & Distribution

  • Review emails and internal communication channels daily for urgent attorney cases requiring assignment.

  • Assign M&G cases to evidence by creating tasks in Litify to ensure an equitable workload distribution. Monitor and assign cases received through the Attorney’s Chat.

  • Review Litify reports daily to identify newly available attorney review assignments.

  • Ensure all assigned attorney cases are distributed among designated attorney-review editors in accordance with departmental workload standards.

Workflow & Stage Monitoring

Monitor the following workflow stages daily to ensure timely case movement and prevent workflow bottlenecks:

  • Attorney Edits

  • Case Review (CR) Edits

  • Declaration Edits

  • Attorney Declaration Edits

  • Adjustment of Status (AOS) Cases

  • Consular Processing (CP) Cases

  • Other Non-VAWA Family-Based Case Types

Responsibilities include:

  • Monitoring stage-specific reports and workload distribution.

  • Ensuring cases move accurately through workflow stages.

  • Identifying delayed cases and implementing corrective actions.

  • Escalating workflow concerns and operational risks to leadership.

  • Enforcing First-In, First-Out (FIFO) case management practices.

  • Monitoring aging reports to prevent backlog accumulation and case stagnation.

  • Prepare and present the weekly Business Debrief report, providing key performance metrics, operational updates, challenges, accomplishments, and action plans.

Family-Based Case Assignment

EvidenceAssignment

  • Assign all cases currently in the Evidence StageMonitor and assign cases from the M&G, Assembly & Edits Chat.

  • Ensure prompt assignment and follow-up of all cases.

Case Types Requiring Assignment

Assign, track, and monitor the following case categories:

  • assembly if we are missing a document

  • CR Edits and Attorney Review: In case we need additional evidence, the case needs to be assigned.

  • Attorney edits to ensure we have Filing Fees, Passport photos, Medical Exam, and Signature Pages 

  • Statement Edits on Affidavits, as we support the line 

Team Communication & Support

  • Provide status updates every 2–3 hours in designated Family-Based operational chats regarding mail-out progress and assigned cases.

  • Respond promptly to inquiries from Legal Assistants, evidence, Attorneys, and Support Staff.

  • Assist Legal Assistants with workflow, assignment, and procedural questions.

  • Respond immediately to attorney feedback received through the Editor Feedback Chat after verifying case details in Litify.

  • Monitor the FB Deadlines Chat and assign tagged cases immediately to avoid missed deadlines.

  • Monitor the Family-Based Customer Service Chat and prioritize escalated or urgent matters to prevent client dissatisfaction.

  • Monitor the FB Leadership Chat and assign tagged cases immediately to avoid missed deadlines.

  • Monitor the NV Team Leaders - Managers Chat and assign tagged cases immediately to avoid missed deadlines.

Meetings & Cross-Functional Collaboration

  • Attend weekly meetings with Attorney Anna L. Lichtenberger and Family-Based Team Leads to review attorney findings, quality concerns, and assembly-line performance.

  • Conduct daily check-ins with team members to review workload, address questions or obstacles, provide guidance, and ensure priorities, performance expectations, and case movement goals are being met.

  • Attend Team Lead and Supervisor Mail-Out Meetings twice daily.

  • Participate in individual performance review meetings with supervisors.

  • Attend weekly KPI review meetings to analyze team performance and departmental results.

  • Review materials submitted by Project Specialists and provide approvals or feedback regarding missing requirements.


Quality Assurance & Performance Oversight

  • Conduct quality audits of at least:

    • One (1) edited case per day.

    • Five (5) edited cases per week.

    • Twenty (20) edited cases per month.

  • Deliver documented coaching and feedback following audits.

  • Monitor editor productivity and goal attainment.

  • Track daily, weekly, and monthly production metrics.

  • Monitor mail-out performance and workflow efficiency.

  • Review the Stage Backlog Report regularly and implement corrective actions as needed.

Employee Performance Administration

  • Prepare and distribute:

    • Weekly Team KPI Reports.

    • Weekly Stage Performance Reports.

    • Monthly Performance Reports.

  • Review QA, Culture & Ethics, and Callout notifications involving Family-Based team members.

  • Acknowledge notifications the same business day.

  • Schedule feedback sessions within twenty-four (24) hours.

  • Deliver documented coaching and resolution communications.

Workforce Management & Systems Administration

  • Review the Call Out Tracker daily and implement corrective actions when performance concerns are identified.

  • Review and approve PTO requests through GoLance.

  • Monitor GoLance productivity and attendance reports.

  • Review and validate overtime requests and communicate discrepancies to Payroll with supporting documentation.

  • Document coaching sessions, feedback discussions, and one-on-one meetings within Workday.

  • Maintain accurate records of employee performance discussions, development plans, and corrective actions.

Required Qualifications

  • Minimum 2 years of experience in immigration law, legal operations, or case management.

  • Minimum 1 year of leadership, supervisory, mentoring, or team coordination experience.

  • Strong knowledge of Family-Based immigration workflows and documentation.

  • Excellent written and verbal communication skills in English/ Spanish.

  • Excellent organizational and time management skills.

  • Strong analytical and problem-solving abilities.

  • Ability to prioritize multiple deadlines in a fast-paced environment.

  • Proficiency in Microsoft Office, Google Workspace, Adobe Acrobat, Litify, and case management systems.

  • Experience managing remote teams and workflows.

  • Demonstrates the ability to communicate professionally, clearly, and empathetically with clients and Legal Assistants (LAs) when addressing escalations, resolving concerns, and providing guidance, ensuring all parties feel supported, informed, and respected throughout the process. 

Preferred Qualifications

  • Previous Team Lead, Supervisor, or Quality Assurance experience.

  • Expertise in Non-VAWA Family-Based Immigration processes.

  • Experience auditing case files and providing coaching.

  • Experience working in Fast- paced report teams.

  • Experience working in high-volume immigration law firms.

  • Experience utilizing KPI-driven performance management systems.

  • Team Lead Effectiveness – 25%
    Maintain a minimum team achievement rate of 95% of weekly production goals, ensuring assigned cases are completed efficiently and team productivity expectations are consistently met.

  • Team Lead Aging – 10%
    Maintain 95% of active cases within the designated aging bucket to ensure timely case progression, reduce backlog accumulation, and support efficient case management.

  • Team Lead Quality – 25%
    Maintain a minimum team quality score of 95%, as measured by QA reviews, rating systems, audit results, and Team Lead evaluations, to ensure compliance with legal and operational standards.

  • Team Lead Mail Out Goal – 20%
    Achieve 100% or greater of weekly mail-out goals, ensuring eligible cases are timely advanced through the mail-out process and team members consistently prioritize case movement objectives.

  • Team Lead Quality Audit – 20%
    Maintain a minimum audit completion rate of 95% by conducting all required team audits, completing QA checklists, providing coaching feedback, and documenting performance improvement opportunities.
