The Role

Job Title: Talent Acquisition Operations & Compliance Specialist 

Role Summary

Supports the execution, governance, and continuous improvement of Talent Acquisition (TA) operations by managing core processes, knowledge assets, case resolution, and compliance activities. Acts as a key operational focal point across TA, RPO, and cross-functional partners, ensuring accuracy and consistency.

Key Responsibilities

1. TA Process Operations

  • Administer controlled access to TA tools and resources (e.g., Sales Incentive Calculators, salary range files), partnering with Compensation to resolve issues and ensure data integrity
  • Maintain and update TA benefits collateral and process documentation (ongoing and project-based)
  • Participate in recurring RPO process governance calls and contribute to process improvement discussions
  • Support maintenance and accuracy of TA Hub and SharePoint repositories

2. Knowledge Management & Content Governance

  • Manage TA knowledge content across TA Hub and ServiceNow (MyKyndryl articles), ensuring accuracy, relevance, and usability
  • Monitor article lifecycle (“Valid to” dates) and proactively refresh/publish content to maintain compliance and availability
  • Provide backup support for knowledge management processes and content updates

3. Case Management & Operational Support

  • Serve as a primary intake and resolution point for Tier 2 TA-related inquiries, excluding referrals
  • Triage and escalate complex issues to Tier 3 resources (e.g., TA leadership and SMEs) as appropriate
  • Track and report on case volumes and resolution trends to support operational insights and continuous improvement

4. Audit, Risk & Compliance Support

  • Provide backup support for TA audit activities, including coordination with internal and external audit teams
  • Maintain audit trackers, ensuring timely updates, follow-ups, and documentation of results
  • Coordinate periodic reviews and refresh of TA policies with relevant stakeholders (e.g., background checks, internal mobility)
  • Support preparation of audit materials, presentations, and documentation for internal and external reviews (e.g., PwC audits)
  • Review and validate access management controls for TA SharePoint and related systems
  • Act as Business Continuity Plan (BCP) focal for TA and support legal/compliance reviews

5. Background Check Oversight & Governance

  • Act as TA focal point for complex or escalated background check cases requiring business coordination
  • Perform internal assurance checks on RPO-managed processes and compliance to established standards
  • Partner with external vendors (e.g., ADP, cFirst) to manage policy adherence and process alignment
  • Maintain and update background check documentation, including authorization forms and communication templates

6. Continuous Improvement & Operational Support

  • Support testing activities, process enhancements, and TA transformation initiatives
  • Provide backup support to RPO Delivery Operations as needed
  • Contribute to special projects and ongoing efforts to streamline TA processes and improve efficiency

  • Working knowledge of Workday, ServiceNow, SharePoint, and TA processes
  • Strong operational discipline with attention to detail and data accuracy
  • Ability to manage multiple priorities across process, compliance, and operational support

  • Effective collaboration across TA, RPO, Compensation, Audit, and HR partners
  • Proactive approach to identifying risks, gaps, and improvement opportunities
