Responsibilities:

JOB SUMMARY

The Health Information Management (HIM) Supervisor supervises the duties and activities involved in the electronic medical record (EMR) which includes patient record processing (prep, scan, quality review), deficiency analysis, data integrity (master patient index and merging), physician suspension, release of information, and off-site record storage. This position is also responsible for submission/reporting of required information to State, Federal, and other regulatory agencies. The position is a resource to all other departments and physicians regarding chart completion and Medical Staff Rules and Regulations related to chart completion. As applicable, the position supervises specialty areas which may include birth registration, physician suspension, State/Federal release of information and reporting, and transcription posting. The position is responsible for complete management of the HIM Department in the absence of the HIM Manager/Director.

ESSENTIAL FUNCTIONS
  • Plans, supervises, and coordinates the HIM Electronic Health Record (EMR) duties which include but are not limited to processing (prepping, scanning, quality reviewing), deficiency analysis, suspension, data integrity (master patient index, merges), release of patient information and other HIM workflows.
  • Plans, establishes, and revises work assignments. Interviews, selects, and recommends hiring of personnel. Initiates recommendations for changes in classification, salary actions, promotion, demotion, transfer, and termination. Resolves staffs’ concerns and administers appropriate disciplinary actions when necessary. Also resolves HIM related issues with physician and patient, family, and other customers.
  • Submits required information to State, Federal, and other regulatory agencies in a complete and timely manner. Monitors productivity and implements process improvement activities on an on-going basis. Works with Physician Suspension Specialist and reviews delinquent chart reports by physician to ensure complete accuracy before disciplinary action is taken by Medical Staff.
  • Assists in the review of current processes and procedures and initiates improvements in workflows. Identifies and resolves day-to-day work-related issues as they arise.
  • Resolves problems related to document imaging applications, chart workflows, interfaces, and error messages. Works with Information Technology (IT) Services to resolve hardware and software issues.
  • Provides departmental orientation, training, and serves as a resource. Performs daily production and quality checks in accordance to department standards and the needs of HIM customers. Attends internal and external development programs, and meets continuing education requirements.

EDUCATION
  • Associates or 2 years' work related experience Required
  • Other / Certificate Successful completion in Health Information Management program. Preferred

EXPERIENCE
  • 2 years lead, coordinating, or supervisory experience in any or all of the following: Release of information, correspondence, master patient index maintenance, records analysis, medical records processing. Required
  • Other Basic understanding and use of computers, telephones, fax, copy machines, and data entry into computer programs Required
  • Other Experience in high quality customer service. Required
  • Other Demonstrated experience of verbal and written communication in a clear and professional manner. Required
  • 3 years of lead, coordinating, or supervisory experience in any or all of the following: Release of information, correspondence, master patient index maintenance, records analysis, medical records processing. Preferred
  • Other Knowledge of state and federal laws and regulations relative to birth registration, and confidentiality and security of patient health information. Preferred
  • Other Experience in a role utilizing excellent communication and analytical skills. Preferred

LICENSE AND CERTIFICATIONS
  • Registered Health Information Technician (RHIT) - Certification Preferred or
  • Registered Health Information Administrator (RHIA) - Certification Preferred
