About the Role

We are looking for a LATAM-based contractor to support Hauler Hero’s RFP and proposal process, including identifying, organizing, writing, and submitting high-quality proposals for municipal, government, and enterprise opportunities.

This role will support the RFP process from opportunity discovery through final submission. You will help find relevant municipal, state, federal, and private-sector opportunities, manage procurement portal registrations, coordinate internal inputs, and draft clear, accurate, and persuasive responses that position Hauler Hero well.

This is a cross-functional role that works with sales, marketing, customer success, product, operations, legal, finance, and leadership. The right person will be a strong writer, highly organized, detail-oriented, and comfortable translating product and operational information into clear proposal language.

This is not a copy-and-paste proposal role. We need someone who can manage details, write clearly, follow up with internal teams, and help us submit polished, compliant proposals on time.

What You’ll Own

RFP Discovery and Opportunity Tracking

You will monitor municipal, state, federal, and private procurement portals to identify relevant RFPs, RFIs, RFQs, cooperative purchasing opportunities, vendor programs, and other bid opportunities.

You will help review each opportunity for fit by looking at scope, eligibility requirements, deadlines, evaluation criteria, contract terms, and strategic value.

You will maintain a clear pipeline of open, upcoming, submitted, and awarded opportunities so sales and leadership have visibility into where Hauler Hero should focus.

Procurement Portal Registration and Vendor Compliance

You will own the day-to-day process of getting Hauler Hero registered in relevant procurement portals across cities, counties, states, federal agencies, cooperative purchasing networks, and private vendor systems.

This includes completing company profiles, uploading required documentation, tracking renewal dates, maintaining login information, coordinating required approvals, and making sure Hauler Hero remains eligible for future opportunities.

You will also help complete forms related to vendor compliance, tax documents, insurance documentation, supplier forms, certifications, and other procurement-related requests.

Proposal Coordination and Submission

You will help manage proposal responses from intake through submission.

This includes reviewing requirements, building response timelines, tracking internal owners, collecting inputs, drafting responses, coordinating revisions, confirming required attachments, and preparing complete submissions.

You will help make sure each proposal is accurate, complete, polished, and submitted on time.

Proposal Writing and Editing

You will write and edit proposal responses that clearly explain Hauler Hero’s product, value proposition, implementation approach, customer support model, technical capabilities, reporting tools, integrations, security practices, and waste industry experience.

You will turn product and operational details into clear, buyer-friendly language.

The best proposals should not feel generic. They should reflect the buyer’s priorities, the specific questions in the RFP, and Hauler Hero’s strengths in modernizing waste operations.

Cross-Functional Follow-Up

You will work closely with sales, customer success, implementation, product, finance, legal, marketing, and leadership to gather the information needed for each response.

You should be comfortable following up with busy people, asking clear questions, tracking open items, and keeping the process moving.

Proposal Content Library

You will help build and maintain a reusable library of approved proposal content, including company background, product descriptions, implementation language, customer examples, security responses, support model language, pricing narratives, technical answers, and standard attachments.

Over time, this library should help Hauler Hero respond to RFPs faster, more consistently, and with higher quality.

What We’re Looking For

The strongest candidates will likely have:

  • 2–5 years of experience in proposal writing, RFP coordination, sales enablement, marketing, business development, procurement support, legal operations, or a related role

  • Excellent written English, with the ability to write clearly, professionally, and persuasively

  • Strong spoken English and comfort communicating with U.S.-based teammates

  • Strong project management and organizational skills

  • High attention to detail, especially around deadlines, formatting, compliance requirements, attachments, and submission instructions

  • Ability to translate technical or operational information into clear business language

  • Comfort working cross-functionally with sales, marketing, product, customer success, finance, legal, and leadership

  • Confidence following up with stakeholders and keeping work moving

  • Good judgment around prioritization, deadlines, and when to escalate issues

  • Comfort using tools like Google Workspace, Microsoft Office, HubSpot, Notion, procurement portals, and AI-assisted writing tools

  • Reliable high-speed internet and availability during core U.S. business hours

Bonus Points

  • Experience responding to municipal, state, federal, or enterprise RFPs

  • Experience working with U.S.-based companies or customers

  • Experience in SaaS, GovTech, vertical SaaS, logistics, transportation, waste, recycling, field services, or public works

  • Familiarity with procurement portals or vendor registration systems

  • Experience managing proposal content libraries or knowledge bases

  • Experience writing technical, security, implementation, or customer support responses

  • Experience with HubSpot, Loopio, Responsive/RFPIO, GovWin, Bonfire, PlanetBids, BidNet, OpenGov, SAM.gov, or similar tools

  • Legal, paralegal, contract administration, or procurement support experience

What Success Looks Like

First 30 Days — Learn

You will complete onboarding, learn Hauler Hero’s product, understand our customer base, and get familiar with existing RFP materials, sales collateral, proposal examples, and core messaging.

You will begin reviewing recent RFPs and understanding how Hauler Hero should position itself in competitive procurement processes.

First 60 Days — Build

You will begin supporting active RFP opportunities, tracking deadlines, coordinating stakeholders, and drafting proposal responses.

You will start building a centralized RFP content library and identifying gaps in existing content.

You will also begin researching and registering Hauler Hero in relevant procurement portals, municipal vendor systems, and government opportunity platforms.

First 90 Days — Own

You will be able to manage defined parts of the RFP process independently, including opportunity tracking, portal registration, response coordination, drafting, editing, and submission support.

You will have a working RFP pipeline, a growing content library, and a clear process for tracking deadlines, open questions, required attachments, and final submission steps.

Location and Work Style

This is a remote contractor role for candidates based in LATAM, with a preference for candidates in Argentina or similar U.S.-aligned time zones.

Candidates must have strong English writing and speaking skills, reliable high-speed internet, and availability to work during core U.S. business hours.
