We are seeking a qualified, dependable, and detail-oriented individual to join our team as a full-time Referral Coordinator.


This remote position is available for candidates who reside in the state of Texas. Candidates located in the Austin, TX area may choose to work remotely or in person at our North Austin office. 


Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m. CST (hours required regardless of work location)


In this role, the Referral Coordinator ensures that all patients, particularly those with HMO insurance plans, have the required referrals and authorizations in place prior to their scheduled appointments. The position serves as a vital liaison between patients, primary care providers (PCPs), and the clinical team to facilitate timely care and avoid delays in treatment. 


Responsibilities:

  • Verify that all new patients with HMO plans have valid referrals from their primary care physicians for the scheduled provider prior to appointments.
  • Monitor upcoming appointments to ensure referral requirements are met in advance of the visit.
  • Track follow-up visits and proactively request additional referrals or visit authorizations as needed.
  • Contact patients to obtain primary care provider information, including provider name, contact details, and insurance-related information.
  • Educate patients on referral requirements and instruct them to contact their PCPs when necessary.
  • Communicate with primary care offices to request, obtain, and follow up on referral documentation.
  • Maintain accurate and up-to-date records of referral status in the electronic medical record (EMR) system.
  • Work closely with scheduling and clinical staff to prevent appointment delays or cancellations due to missing referrals.
  • Ensure compliance with insurance requirements and organizational policies related to referrals and authorizations.
  • Resolve issues related to missing or incomplete referrals in a timely and professional manner.
  • Perform other duties as assigned to support the mission, values, and strategies of CPIhealth.

Requirements

  • High school diploma or equivalent required; associate degree or healthcare-related certification preferred.
  • Previous experience in a medical office, insurance verification, or referral coordination preferred.
  • Knowledge of HMO insurance plans, referral processes, and basic medical terminology.
  • Strong communication and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively in a fast- paced environment.
  • Proficiency with EMR systems and standard office software.
