About the Role

We are seeking a highly organised and proactive Operations & Practice Coordinator to support a growing UK dental group with multiple practices. This is a remote role based in South Africa, ideal for someone with previous experience in a dental, medical, healthcare, or multi-site clinical environment where operational, compliance, administrative, and PA responsibilities overlap.

The successful candidate will play a key role in ensuring smooth day-to-day operations across multiple practices, supporting compliance, performance monitoring, financial administration, staff coordination, and patient management.

Key Responsibilities

  • Monitor staff rotas, holidays, sickness records, timesheets, and workforce administration.
  • Support recruitment, onboarding, locum staffing, and visa documentation tracking.
  • Manage dental compliance requirements, audits, regulatory checks, policies, and practice documentation.
  • Track clinical and operational KPIs including recalls, patient appointments, treatment claims, UDA targets, private income, and associate performance.
  • Oversee financial administration including expenses, invoices, wages data, banking checks, debt collection, lab bills, and supplier cost reviews.
  • Coordinate equipment servicing, maintenance schedules, compliance testing, and contractor bookings.
  • Monitor patient communication workflows, email inboxes, reviews, satisfaction surveys, and response rates.
  • Produce reports, spreadsheets, and performance data for management.
  • Support practice managers with operational projects, policy updates, and administrative tasks.
  • Identify opportunities to improve efficiency, reduce costs, and negotiate better supplier agreements.

Requirements

  • Previous experience in a dental, medical, healthcare, or multi-site clinical administration role.
  • Strong understanding of healthcare compliance, operational processes, and practice administration.
  • Excellent organisational and time-management skills.
  • Advanced proficiency in Microsoft Excel and reporting.
  • Experience working with practice management systems and administrative software.
  • Strong attention to detail and ability to manage multiple priorities independently.
  • Professional written and verbal communication skills.
  • Comfortable working UK business hours.
