The Purchasing Coordinator plays a key support role in keeping our drill crews supplied, equipped, and operational by ensuring materials and services arrive where they’re needed, when they’re needed.
Position Summary
The Purchasing Coordinator supports the Supply Chain Manager with procurement, logistics, and inventory functions that keep NISS drilling operations running smoothly. This role assists with issuing purchase orders, obtaining vendor quotes, scheduling shipping, and supporting inventory processes. The position requires strong communication, attention to detail, and a commitment to supporting field teams in a fast-paced environment. This role may require up to 10% travel to suppliers, warehouses, or NISS field locations.
Key Responsibilities
- Assist in issuing purchase orders to approved suppliers after required approvals are obtained.
- Maintain accurate purchase order information in the ERP system, including delivery dates and status updates.
- Obtain competitive quotes from vendors to support cost-effective purchasing decisions.
- Communicate with suppliers regarding open orders to ensure timely and accurate delivery of materials needed by field crews.
- Support supplier evaluations and help identify new purchasing opportunities.
- Schedule shipping and freight arrangements to ensure materials reach drill sites, warehouses, and project locations on time.
- Coordinate with carriers, suppliers, and internal teams to track shipments and resolve delays or discrepancies.
- Assist with the movement of materials between NISS locations and field operations.
- Assist with inventory processes, including stock checks, cycle counts, and replenishment planning.
- Help maintain accurate inventory records to support operational readiness.
- Work with warehouse and operations personnel to ensure materials are available when needed.
- Ensure suppliers meet NISS qualification requirements and remain on the approved supplier list.
- Coordinate with accounting, suppliers, and internal teams to resolve issues related to purchase orders, invoices, or deliveries.
- Maintain positive working relationships with suppliers, field supervisors, project managers, and logistics personnel.
- Support cost analysis efforts and help identify opportunities for savings.
- Monitor pricing trends and supplier performance to support purchasing decisions.
- Participate in continuous improvement initiatives within the procurement and logistics functions.
Education & Experience Requirements
- At least one year of experience in purchasing, supply chain, logistics, or a related administrative role preferred.
- Strong written and verbal communication skills.
- Proficiency with MS Office Suite; experience with ERP systems is an asset (Oracle, Dayforce, or similar).
- Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.
- Demonstrated problem-solving abilities and attention to detail.
- Ability to work collaboratively with field teams, warehouse staff, and office personnel.
- A customer-service mindset with a focus on supporting operations and achieving results.
- Ability to travel up to 10% as required.
