The client is a residential and commercial construction company focused on managing construction projects, coordinating subcontractors, sourcing materials, and maintaining strong vendor relationships throughout the building process. Their team operates in a collaborative environment where efficiency, responsiveness, and attention to detail are essential. They are looking for a reliable professional who can support purchasing and vendor coordination efforts while helping streamline day to day operations.

 

About the Role:

 

The Purchasing Agent will support the construction team by sourcing subcontractors, obtaining material pricing, coordinating vendor communications, gathering bids, and assisting with administrative purchasing activities. This role requires strong research skills, excellent communication abilities, and the initiative to work independently while following clear instructions. The ideal candidate is organized, resourceful, adaptable, and comfortable interacting with vendors, suppliers, and service providers across multiple construction related projects.




 

Key Responsibilities

 

Vendor & Subcontractor Sourcing

  • Research and identify qualified subcontractors, suppliers, and service providers within designated geographic areas
  • Contact vendors to request quotes, availability, and project information
  • Gather and compare multiple bids for construction related services and materials
  • Build and maintain vendor contact lists and sourcing databases
 

Purchasing & Pricing Coordination

  • Obtain pricing for construction materials, products, and services
  • Follow up with vendors regarding quotes, invoices, and pricing discrepancies
  • Track requested bids and ensure information is delivered to the appropriate team members
  • Assist with gathering purchasing information for project planning purposes
 

Communication & Follow Up

  • Serve as a point of contact between the company and external vendors
  • Conduct phone calls and email outreach to suppliers and subcontractors
  • Follow up on pending requests and ensure timely responses from vendors
  • Maintain professional and friendly communication at all times
 

Administrative Support

  • Organize documents, quotes, invoices, and project related files
  • Create and maintain spreadsheets for tracking bids, pricing, and vendor information
  • Convert, manage, and organize files in Word, Excel, PDF, and other common formats
  • Assist with additional administrative tasks as needed to support team operations
 

Qualifications & Skills

 

Must Have

  • Previous experience in purchasing, vendor coordination, administrative support, virtual assistance, procurement, or a similar role
  • Strong verbal and written English communication skills
  • Comfortable making outbound calls to vendors and service providers
  • Proficiency with Microsoft Word and Microsoft Excel
  • Ability to work with PDFs, documents, spreadsheets, and digital files
  • Strong internet research and information gathering skills
  • Ability to work full time during Pacific Time business hours
  • Reliable computer, internet connection, and professional remote work setup
  • Experience working remotely with U.S. based companies
 

Preferred

  • Experience supporting construction, real estate, home improvement, or related industries
  • Familiarity with procurement, vendor management, or subcontractor coordination
  • Experience comparing quotes and managing supplier relationships
  • Knowledge of AI tools for research, productivity, and workflow support
